Job Summary

We are seeking a highly skilled Strategic Procurement Specialist to join our team in the Administration division of the Department of Records and Information Services.

About the Role

This is a full-time position that requires purchasing and contracting expertise. The successful candidate will be responsible for preparing procurement documentation, processing payments, and tracking contract status.

Key Responsibilities
  • Purchasing and Contracting: Prepare procurement documentation, including purchase requisitions, memos, and personal expense reimbursement. Process payments for all accounts payable. Update Trust & Agency accounts, process purchases, and royalties for these accounts.
  • Contract Management: Prepare bid and/or pre-solicitation review documents; obtain market and/or vendor data in support of bid preparation; participate in bid review, tabulation, and analysis; conduct on-site inspections as necessary; track and report contract status to the supervisor.
  • Procurement Cycle Management: Establish and maintain contracting cycles to ensure no gap in contracted services.
Requirements

To be successful in this role, you must have a baccalaureate degree from an accredited college and six months of satisfactory full-time professional experience in procurement of goods, services, construction, or construction-related services. Alternatively, you may have an associate degree or completion of 60 semester credits from an accredited college, and 18 months of satisfactory full-time professional experience in procurement.

Preferred Skills
  • Experience using FMS, APT, Vendex, SBS MWBE database, Passport, DMSS, PIP, and DCAS requirement contract.
  • Knowledge of NYC Contracting Process and Comptroller's Directives and PPB rules.
  • Experience with State and/or Federal Grant funding preferred.
  • Excellent written, oral, and interpersonal communication skills.
  • Organized and detail-oriented.
  • Advanced Excel skills required.
Compensation

The salary for this position is estimated at $85,000 per year, based on the location in New York City.
