Correctional Records Technician

We are seeking a highly motivated and detail-oriented Correctional Records Technician to join our team at the Washington State Department of Corrections. As a Correctional Records Technician, you will play a critical role in maintaining accurate and up-to-date records for incarcerated individuals, ensuring compliance with state and federal laws.
Key Responsibilities- Calculate length of incarceration, community supervision time, and/or determines release dates.
- Utilizing knowledge of sentencing options and types, determines supervision types and enters sentence structures in accordance with judgment, sentence, or other court documents.
- Audits judgment, sentences, and other court documents to verify the court's accuracy in sentencing incarcerated individuals per applicable RCWs and legislative changes.
- Interprets Supreme, Appellant, and Superior Court decisions, RCWs and Indeterminate Sentencing Review Board redetermination to properly compute/re-compute release dates for incarcerated individuals.
- Verifies jail credits as ordered by the court or as certified by the county jail. Calculates good time jail credits as applicable per RCW.
- Audit sentence structure for accuracy, verify earliest release date to prepare incarcerated individual's release.
- Ensure the contents of individuals records are legal, accurate, and maintained in a secure setting.
- Coordinates transportation of incarcerated individuals for court appearances, transfers, and releases.
- Completes prep sheets, verifying data and determining supervision types and jurisdiction for violators.
- Checks NCIC and WACIC for State and Federal warrants and update accordingly.
- Notifies victims, witnesses, law enforcement and other agencies as appropriate.
- Review and verify accuracy of legal documents relating to convictions and sentencing.
- Enter information into the Department's electronic database.
- Archive incarcerated individuals records according to established procedures.
- Provide effective and thorough communication with DOC and other appropriate agencies.
- Correspond with appropriate court or other legal staff to resolve sentence discrepancies or other issues related to the structure of the incarcerated individuals' sentence.
- Respond to outside agencies requesting individuals records within the guidelines of public disclosure law.
- Respond to requests for public disclosure in compliance with federal and state public disclosure laws.
- Serve legal documents on incarcerated individuals.
- Interpret and explain applicable RCWs, WAC's, agency policies and records processes.
- Interview and identify incarcerated individuals using acceptable identification methods. Review and interpret Judgment & Sentence information in compliance with state and federal laws, super court sanctions and agency policies.
- Reviews and verifies all pertinent documents relative to the individual's prison commitment.
- Interview anew admissions, readmissions and/or violators to prison.
- Using the authorized DOC approved programs, take fingerprint and photographs and create ID badges for incarcerated individuals and employees; assign incarcerated individual's identification number.
- Utilize, update, and maintain databases and programs containing information relative to incarcerated individuals' conviction, sentence and violation history.
- Public Disclosure requests and assignments will be tracked using the approved DOC program.
- Court orders transfers will be tracked utilizing the appropriate program.
- Perform other duties and assignments as required.
- Other duties as assigned by the Correctional Records Manager, Correctional Records Supervisor, and Correctional Records Lead.
- High School diploma or equivalent.
- Two (2) years' experience maintaining or processing incarcerated individual files such as legal files, property files, grievance files, administrative files, medical files, parole files, or counselor or custody files in a governmental law enforcement office, court setting, or an adult or juvenile correctional agency.
- Intermediate Microsoft Office Skills, especially in MS Word, MS Excel and MS Outlook.
- Ability to communicate effectively both orally and in writing.
- College level coursework in criminal justice, business administration, accounting, social science, or a related field.
- Knowledge of criminal history document processing.
