About the Role

The University of Virginia seeks a highly skilled Department Manager to support the day-to-day operations of the Department of French. This is an exciting opportunity to join a dynamic team and contribute to the success of one of the nation's largest and most prestigious French programs.

Key Responsibilities
  • Administrative Support: Serve as a lead advisor to the chair or unit head and collaborate to ensure seamless day-to-day operations for faculty, students, staff, and visitors to the department.
  • Planning and Development: Supervise, coordinate, and participate in planning and development activities for the department or unit to ensure smooth and successful support of business operations.
  • Procedure Formulation: Formulate internal procedures and guidelines for department or unit activities, including the business of the unit, such as academic administration.
  • Effectiveness Evaluation: Evaluate the effectiveness of business systems and processes. Recommend improvements to enhance efficiency.
  • Space and Facilities Management: Coordinate space use and facilities planning.
  • Representation: Represent the department or unit on business affairs across the university.
  • Records Management: Oversee department records management.
Financial Management
  • Budget Development: Develop and prepare budgets and financial reports for general appropriations. Annual expenditures approximately $5 million.
  • Financial Reporting: Undertake general financial reporting to ensure budgetary control and responsible fiscal oversight. Maintain the budget throughout the year, with ability to share year-to-date progress with stakeholders.
  • Internal Controls: Manage internal controls.
  • Pre- and Post-Award Activities: May coordinate pre- and post-award activities between faculty and a research administrator.
Human Resources
  • Recruitment Support: Partner with HR Business Partners and Recruiters to provide process support on recruitment efforts, compensation analysis, and employee management.
  • Culture Building: In conjunction with the chair or unit head, build and maintain a strong inclusive and welcoming culture for all students, faculty, and staff. Advocate for a customer service mindset when interacting with all constituents.
  • Performance Management: Supervise staff direct reports and assist the department or unit during the annual performance management cycle.
Academic and Community Engagement
  • Student Support: Provide student-facing support, which can include administering funding, hiring and supervision.
  • Collaboration: Work with Chair, Director of Graduate Studies, Director of Undergraduate Studies, and Language Program Coordinator regularly.
Requirements
  • Education: Bachelor's degree
  • Experience: Two years of relevant exempt level experience, typically in finance and budget. Relevant exempt level experience may substitute for a degree.
Preferred Qualifications
  • Experience in Academic Environment: Experience in a support capacity in an academic environment and a willingness to take on new initiatives as they arise.
  • Budget Management: Experience developing and managing budgets and ability to produce, interpret, and share regular financial reporting from existing financial systems.
  • Communication and Interpersonal Skills: Ability to manage multiple tasks in a fast-paced, demanding and complex environment while remaining flexible and collegial.
  • Teamwork and Independence: Ability to work well as a team member, as well as independently with minimal supervision.
