Key Responsibilities
The Patient Access Representative Lead plays a crucial role in the patient experience by managing various administrative tasks that support clinic operations. This position is responsible for:
- Welcoming patients in a courteous and efficient manner, providing essential instructions and notifying relevant departments of patient arrivals.
- Handling incoming calls with professionalism, directing inquiries, taking messages, and addressing patient needs promptly.
- Coordinating follow-up appointments and proactively reaching out to patients with missed or canceled appointments to ensure continuity of care.
- Updating and verifying patient information during each interaction to maintain accurate records.
- Collecting payments, including copays and outstanding balances, and issuing receipts as required.
- Gathering necessary patient documentation, including forms and consents, to keep records current.
- Entering patient insurance details into the system accurately.
- Securing referral information and ensuring that all necessary authorizations are obtained prior to patient visits.
- Preparing patient charts for upcoming appointments, ensuring all relevant documents are received and integrated.
- Managing requests for medical records from various entities.
- Facilitating insurance approvals for procedures and surgeries, both in-office and external.
- Overseeing workers' compensation and FMLA authorizations and verifying eligibility for appointments.
- Collecting any required co-insurance, deductibles, and payments prior to services being rendered.
- Scheduling surgeries, outpatient appointments, and admissions as directed by healthcare providers.
- Maintaining inventory levels and ordering necessary supplies for office operations.
- Supervising clerical staff, providing guidance on daily tasks and responsibilities.
- Assisting in the training and development of staff, setting performance objectives and goals.
Qualifications
Education
Required: High school diploma or equivalent.
Experience
Required: A minimum of 2 years of experience in a clinical setting and 3 years in customer service.
Skills
Required: Proficiency in computer applications and email communication.
Compensation
Pay range: $20.33 per hour.
