Key Responsibilities

The Patient Access Representative Lead plays a crucial role in the patient experience by managing various administrative tasks that support clinic operations. This position is responsible for:

  1. Welcoming patients in a courteous and efficient manner, providing essential instructions and notifying relevant departments of patient arrivals.
  2. Handling incoming calls with professionalism, directing inquiries, taking messages, and addressing patient needs promptly.
  3. Coordinating follow-up appointments and proactively reaching out to patients with missed or canceled appointments to ensure continuity of care.
  4. Updating and verifying patient information during each interaction to maintain accurate records.
  5. Collecting payments, including copays and outstanding balances, and issuing receipts as required.
  6. Gathering necessary patient documentation, including forms and consents, to keep records current.
  7. Entering patient insurance details into the system accurately.
  8. Securing referral information and ensuring that all necessary authorizations are obtained prior to patient visits.
  9. Preparing patient charts for upcoming appointments, ensuring all relevant documents are received and integrated.
  10. Managing requests for medical records from various entities.
  11. Facilitating insurance approvals for procedures and surgeries, both in-office and external.
  12. Overseeing workers' compensation and FMLA authorizations and verifying eligibility for appointments.
  13. Collecting any required co-insurance, deductibles, and payments prior to services being rendered.
  14. Scheduling surgeries, outpatient appointments, and admissions as directed by healthcare providers.
  15. Maintaining inventory levels and ordering necessary supplies for office operations.
  16. Supervising clerical staff, providing guidance on daily tasks and responsibilities.
  17. Assisting in the training and development of staff, setting performance objectives and goals.

Qualifications

Education

Required: High school diploma or equivalent.

Experience

Required: A minimum of 2 years of experience in a clinical setting and 3 years in customer service.

Skills

Required: Proficiency in computer applications and email communication.

Compensation

Pay range: $20.33 per hour.
