Position Overview:
The Maintenance Coordination Specialist plays a crucial role in managing inbound communications and facilitating both scheduled and unscheduled maintenance issues. This position serves as the vital link between our drivers, service providers, and organizational stakeholders, ensuring that our drivers receive exceptional support during their maintenance interactions. Ideal candidates will have experience in customer service roles, particularly in liaising between clients and technical teams.

Key Responsibilities:

  • Provide support in a fast-paced environment, including daytime and occasional after-hours assistance for drivers facing breakdowns.
  • Manage vendor relationships, negotiating costs for parts and services as necessary.
  • Create and maintain repair orders within the Dossier system.
  • Collaborate with maintenance team members to strategize and implement operational plans.
  • Promptly communicate breakdowns, accidents, and incidents to relevant coordinators and departments.
  • Handle incoming calls through designated call queues.
  • Engage with digital communications from in-cab devices.
  • Review and respond to email inquiries, taking appropriate actions.
  • Utilize OEM websites to assess action codes and determine necessary resolutions.
  • Maintain clear communication with vendors, drivers, and operational stakeholders regarding repair statuses and related matters.
  • Ensure compliance with DOT/FMCSA regulations in alignment with company standards.
  • Evaluate and authorize repair estimates while overseeing the repair process.
  • Perform additional duties as assigned.

Qualifications:
A successful candidate will embody the company's mission and values, demonstrating strong communication skills to effectively engage with customers, drivers, and team members. The role requires a customer-focused and team-oriented individual with excellent organizational abilities, capable of managing multiple tasks simultaneously. Flexibility in scheduling, including availability on weekends and holidays, is essential.

  • High school diploma or equivalent required.
  • Bachelor's degree in a related field or equivalent experience preferred.
  • Previous experience in call center operations, service writing, or mechanical roles preferred.
  • Experience within the transportation sector preferred.
  • Proficiency in Microsoft Office Suite.
  • Strong written and verbal communication skills.
  • Excellent interpersonal skills.
  • Sound judgment and problem-solving capabilities.
  • OEM maintenance certifications are a plus.

This position is hourly with no guaranteed career progression, though candidates may be considered for other opportunities within the company.
