Service Operations Specialist

Overview:

We are looking for a dedicated Service Operations Specialist to enhance our team. This full-time role is integral to our operations and offers pathways for professional development as our organization grows.

In this position, you will be responsible for a variety of customer service tasks, including managing service requests, coordinating schedules, and monitoring service activities, while also providing assistance to other departments as necessary.


Customer Engagement:


  • Handle incoming service inquiries, including dispatching, tracking, scheduling, and general customer support.
  • Input and update site data in our management system.
  • Offer assistance and backup to other operational areas when required.

Work Order Oversight:


  • Generate and assign work orders for scheduled maintenance and service.
  • Complete work orders related to service agreements as needed.
  • Ensure accurate entry of purchase orders into the management system and process accordingly.

Routine Responsibilities:


  • Participate in weekly planning meetings.
  • Conduct weekly reconciliations of service documentation.
  • Perform data entry for weekly time records.
  • Organize and follow up on monthly maintenance schedules, ensuring effective communication with contract clients and subcontractors.
  • Meet regularly to review expiring contracts and plan upcoming preventive maintenance visits.

Subcontractor and Billing Management:


  • Oversee and follow up on subcontractor pricing agreements.
  • Manage and approve billing processes.

Technician Coordination:


  • Facilitate the check-in/check-out procedures for technicians in line with safety protocols.
  • Notify the Service Manager of any technician delays or absences.
  • Ensure technicians receive necessary access and training for customer sites.
  • Maintain records of technician training and access permissions.

Customer Satisfaction Initiatives:


  • Develop and maintain a customer satisfaction follow-up system.
  • Assist in conducting customer satisfaction assessments.
  • Provide insights and feedback to the Service Manager.

Administrative Support:


  • Update and manage customer service documentation.
  • Procure necessary parts and materials for service orders.
  • Prepare service quotes with the assistance of the Service Supervisor.
  • Perform administrative duties such as filing, correspondence, and meeting minutes.

Additional Responsibilities:


- Undertake other tasks and responsibilities as assigned.

Qualifications:


  • Strong communication and customer service abilities.
  • Familiarity with management software.
  • Excellent organizational skills and attention to detail.
  • Capability to manage multiple tasks and prioritize effectively.
  • Team-oriented with a proactive approach.
