Job Overview

The role of Administrative Support Specialist is to provide high-level administrative support to the Managing Director and team members. This position requires excellent organizational, communication, and problem-solving skills.

Key Responsibilities
  • Coordinate logistics for domestic and international travel, including preparing detailed itineraries and agendas, coordinating car services, arranging flights, trains, hotels, and car rentals/service.
  • Maintain a contact database of clients, investors, attorneys, and other key stakeholders.
  • Organize meetings, serve as the primary gatekeeper, and screen calls professionally.
  • Manage and monitor calendars, schedule conference rooms, and coordinate conference calls.
  • Process office expenses and off-site meeting expenses.
  • Ensure timely delivery of meeting materials, including printing, binding, packaging, and shipping.
  • Research and recommend cost-effective venues for meetings and events, book attendees' flights and hotels, negotiate room blocks and conference rates.
  • Provide visitor requirements and requests, including making reservations, coordinating car services, flights, and directions to subsequent meetings and engagements.
Benefits

This Administrative Support Specialist role offers a competitive salary range of $60,000 - $80,000 per year, depending on experience.
