Clinical Scheduling Specialist Opportunity at Wheatfield SNF

We are seeking a highly organized and detail-oriented Clinical Scheduling Specialist to join our dynamic team at Wheatfield SNF. As a key member of our clinical staff, you will be responsible for generating, managing, and updating master schedules for the nursing department.

Key Responsibilities:

  1. Act as the point person and lead for all matters related to scheduling staff.
  2. Thoroughly understand and use the master staffing schedule extensively.
  3. Use multiple staffing tools intricately and possess an in-depth understanding of staffing to census expectations.
  4. Troubleshoot and effectively problem-solve staffing complexities with minimum supervision.
  5. Display understanding of PPD metric and how to staff accordingly.
  6. Maintain regular, consistent communication with DON/ADON to ensure coordination of staffing.
  7. Maintain accuracy of nursing schedule in Kronos and all required tracking.
  8. Prepare daily staffing sheets with continual revisions as necessary.
  9. Follow company policies for staffing as well as budgeted guidelines for assignment of staff.
  10. Complete a listing of vacant nursing positions for DON weekly.
  11. Schedule staff time off requests according to established guidelines and the DON/ADON's approval/direction.
  12. Ensure at least one other staff member is trained on the Staffing Specialist's position in the event of vacation, sick leave, vacancy, etc.
  13. Identify critical or difficult to fill positions/shifts and take proactive action to balance the schedule.
  14. Review daily exception logs for payroll and assist with payroll preparation for the nursing and nursing admin department.
  15. Communicate regularly with agency contacts and maintain positive, proactive business relationships.
  16. Collaborate with human resources regarding policy implementation, compliance for new staff (both internal and agency) and properly communicate all staff requests (e.g. status changes).
  17. Display professionalism and ability to work in a high volume, fast-paced environment.
  18. Communication expert with the ability to approach staff easily, form strong relationships and persuade staff to assist in times of need.
  19. Consistently demonstrate fairness and impartiality in accordance with company scheduling/staffing practices.
  20. Utilize electronic timekeeping system as directed.

Requirements:

  • Minimum of Associates degree (Bachelors preferred)
  • Minimum of six (6) years of related experience in a high-paced environment preferably in staffing/scheduling or operations
  • Proficiency in Microsoft Excel
  • Prior experience with scheduling platforms, specifically Kronos, strongly preferred
  • This position requires regular interaction with residents, coworkers, visitors, and/or supervisors.
