Position Summary:
The Receivables Management Specialist plays a crucial role in ensuring timely collection of payments for products and services provided to clients.
Supervisory Responsibilities:
· None.
Key Responsibilities:
- Processes, posts, verifies, and records customer payments and transactions associated with accounts receivable.
- Generates invoices in accordance with company standards and dispatches them to clients.
- Maintains and updates customer records, including modifications to names, addresses, mergers, or specific mailing instructions.
- Drafts communication for standard overdue accounts and collections, identifies delinquent accounts by reviewing records, and reaches out to delinquent customers to request payment.
- Produces reports detailing the current status of customer accounts as required.
- Investigates customer discrepancies and overdue amounts with support from the Collections Manager and other team members.
- Works alongside the Collections Manager to reconcile accounts receivable on a regular basis (at least bi-monthly).
- Assists in generating monthly billing statements based on the general ledger.
- Supports the Accounting Manager in reconciling revenue accounts each month.
- Copies, files, and retrieves documents for accounts receivable as necessary.
- Communicates changes in information to relevant staff members.
- Performs additional related duties as assigned.
Required Skills and Qualifications:
- Exceptional verbal and written communication abilities.
- Proficient in Microsoft Office Suite and other accounting software applications.
- Capable of operating related office equipment, including computers, 10-key calculators, and copiers.
- Able to work independently and thrive in a fast-paced environment.
- Proficient in anticipating work needs and interacting professionally with clients.
- Outstanding organizational skills and meticulous attention to detail.
Education and Experience:
- High school diploma or equivalent is required.
- A minimum of two years of relevant experience is necessary.
Physical Requirements:
- Extended periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds occasionally.
