The Front Desk Supervisor is responsible for overseeing the daily operations of the Front Office, ensuring that all receptionist functions related to patient check-in and check-out are performed efficiently and effectively. This role involves direct supervision of staff and hands-on participation in various administrative tasks.

Key Responsibilities
  • Manage and guide team members in executing check-in and check-out procedures.
    Check-In Responsibilities:
    • Welcome patients, visitors, and sales representatives.
    • Assist patients at the check-in window, addressing inquiries and providing necessary support.
    • Instruct new patients on completing medical history forms and update returning patients' information as required.
    • Verify patients' insurance eligibility and document relevant details.
    • Input data into the system, retrieve information, and prepare correspondence and reports.
    • Create encounter forms and compile visit information for clinical staff.
    • Organize folders and maintain records for new patients, including medical charts and correspondence.
    • Ensure medical records are complete and filed correctly according to established systems.
  • Check-Out Responsibilities:
    • Prepare medical charts and encounter forms for upcoming clinics.
    • Assist patients at the checkout window, answering questions and providing support.
    • Confirm demographic and insurance details.
    • Input data into the system, retrieve information, and calculate patient payment responsibilities.
    • Collect payments, update financial records, and issue receipts.
    • Schedule follow-up appointments and provide patients with appointment cards.
    • Balance charges and payments for each physician and submit reports for deposits.
    • Address errors and resolve patient complaints.
    • Recommend improvements to policies and performance standards.
    • Adhere to organizational policies, ensuring confidentiality and cooperation among team members.
    • Maintain a high standard of customer service and safety in all duties performed.
    • Perform additional tasks as needed to support the organization.
Qualifications

Experience Requirements
  • At least two years of experience in a medical office setting.
  • A minimum of one year in a supervisory role.
