Role Overview: The Facilities Coordinator will serve as the primary contact responsible for overseeing all facets of facilities management within designated portfolios. This role requires accountability for maintaining site standards and availability during weekends and evenings for emergency situations.
Key Responsibilities:
- Assist in the formulation and oversight of capital and operational budgets by collaborating closely with client representatives.
- Monitor financial discrepancies to align with client objectives.
- Manage daily work orders, addressing flags, and taking necessary actions to advance tasks.
- Engage in daily communication with clients and relevant parties to ensure timely completion of work.
- Verify that all tasks are executed to satisfactory standards.
- Contribute to the creation and implementation of the annual management strategy for the facilities.
- Conduct quarterly site inspections, necessitating travel to each location to identify and initiate corrective actions for deficiencies.
- Meet with vendors on-site to discuss project scopes or confirm work completion.
- Collaborate with clients on-site as required to resolve challenges or vendor-related issues.
- Adhere to the Shared Vision Statement focused on enhanced facility maintenance, cost reduction, and process simplification.
- Ensure service levels are upheld at the required standards.
- Work in partnership with clients to ensure compliance with all KPIs and SLAs.
- Support project completion as needed by clients.
- Execute all tasks in accordance with applicable laws, codes, and regulations.
- Manage preventive maintenance work orders for ongoing inspections and scheduled maintenance.
- Collaborate with the Maintenance Execution Services (MES) team to deliver high-quality work order performance.
- Promptly escalate safety and risk-related issues to prevent incidents, identifying hazards and working closely with the Environmental Health & Safety (EH&S) team to ensure a safe environment.
- Demonstrate vendor management skills to ensure all service providers meet expected performance levels.
- Oversee daily operations of technicians, prioritizing work in alignment with client facility management objectives.
- Ensure technicians understand procurement strategies and document purchases accurately.
- Supervise the performance and development of the dedicated technician team, ensuring compliance with policies and training.
- Review and approve timecards and purchases, ensuring adherence to work order and receipt procedures.
Qualifications:
- A minimum of 5 years of experience in Facilities Management, either in a corporate setting, third-party service provider, or consultancy.
- Strong organizational and leadership capabilities.
- Excellent interpersonal and supervisory skills.
- Proficient presentation abilities.
- Competency in MS Office and MS SharePoint.
- Familiarity with Computerized Maintenance Management Systems (CMMS).
- Ability to supervise vendor performance during regular and off-hours, including weekends when necessary.
Preferred Knowledge: Understanding of real estate, telecommunications, furniture, accounting, and building systems.
