POSITION SUMMARY

The HVAC Service Operations Manager is responsible for overseeing personnel engaged in the installation, repair, and maintenance of heating and cooling systems in commercial and industrial settings. This role involves direct collaboration with service technicians, dispatch teams, and other management to ensure client satisfaction while achieving departmental objectives.

KEY RESPONSIBILITIES
  • Oversees and develops all field and office staff within the Operations Department, including recruitment, performance evaluation, and work prioritization.
  • Ensures adherence to all company policies and operational procedures.
  • Schedules and directs field technicians, providing necessary technical support to meet service demands.
  • Analyzes technician workloads and organizes service assignments for optimal manpower utilization.
  • Coordinates with dispatch to align technician scheduling with skill levels and training needs.
  • Reviews technician performance to ensure compliance with quality standards and safety regulations; offers recommendations for improvement.
  • Conducts safety inspections and leads safety meetings.
  • Approves weekly payroll for hourly technicians and non-exempt staff to ensure accurate compensation.
  • Establishes ongoing training programs to keep technicians updated on the latest techniques and safety protocols.
  • Ensures all jobs are executed safely, effectively, and profitably.
  • Manages the timely ordering and delivery of equipment and materials for scheduled projects.
  • Engages with vendors regarding product warranties, recalls, and operational concerns related to serviced equipment.
  • Develops and monitors departmental budgets, goals, and objectives to drive profitability.
  • Conducts daily audits of service orders and reviews customer billing for timely cash flow management.
  • Performs daily reviews of accounts payable for accuracy and approval.
  • Regularly meets with dispatch to discuss job progress, estimated completion times, and resource utilization.
  • Oversees maintenance and operation of service vehicles in accordance with company policy.
  • Manages larger installation projects, coordinating technicians and subcontractors, and conducting pre-start inspections.
  • Collaborates with other department managers to achieve company-wide goals.
  • Undertakes additional responsibilities as necessary to maintain efficient operations.
MINIMUM QUALIFICATIONS

The ideal candidate for the HVAC Service Operations Manager position should possess the following qualifications:
  • Exceptional customer service and sales abilities.
  • A minimum of five years of experience in HVAC management or a related field.
  • Post-secondary education from a college, trade school, or military training.
  • Comprehensive knowledge of HVAC and refrigeration systems.
  • Ability to read and interpret manuals, schematics, and control circuits related to HVAC systems.
  • Technical proficiency with local codes and problem-solving skills.
  • Strong leadership capabilities to enhance team productivity and quality of work.
  • Excellent verbal and written communication skills, along with conflict resolution abilities.
  • Detail-oriented and organized, capable of managing multiple tasks effectively.
  • Proficient in common office software applications such as MS Word, Excel, and Outlook.
