The Patient Access Coordinator plays a crucial role in supporting the daily functions of the Patient Access departments, including Registration, Central Scheduling, Information Desk, and Telecommunications. This position collaborates closely with department leaders to ensure that operational challenges are effectively managed. The Coordinator oversees clerical workflows across various Patient Access sectors and directs daily activities for clerical staff members.
KEY RESPONSIBILITIES:
- Maintains a professional and welcoming environment in the Main Lobby and Emergency Department Lobby.
- Ensures staff are updated on hospital policies and procedures to accurately collect patient, medical, and financial information.
- Delegates tasks to staff and guarantees appropriate coverage across all Patient Access areas.
- Completes the scheduling process in accordance with departmental guidelines, reviewing preparation details with the scheduler to ensure patient readiness.
- Communicates with primary care physicians and specialists to secure necessary preauthorizations or insurance referrals.
- Conducts the registration process as per departmental standards, accurately entering charges and orders for services provided.
- Answers incoming calls promptly, assisting or directing callers to the appropriate personnel or departments, and accurately documenting verbal orders.
- Ensures timely communication of patient arrivals to relevant departments.
- Maintains comprehensive knowledge of policies and procedures related to both inpatient and outpatient registration, as well as Radiology.
PHYSICAL AND SENSORY REQUIREMENTS:
Ability to sit for extended periods, up to eight hours daily, with frequent tasks involving handling, grasping, and lifting objects weighing up to 25 pounds. Capable of pushing wheelchairs weighing up to 250 pounds. Frequent bending, stooping, and reaching above shoulder level are required. Adequate vision for normal and peripheral sight, and hearing for standard conversation and telephone communication.
EDUCATION:
An Associate Degree in Business or Medical Office Administration is preferred.
TRAINING AND EXPERIENCE:
Exceptional customer service and interpersonal skills are essential (experience in an office environment is preferred). Proficiency in Microsoft Office applications: Outlook, Access, Excel, and Word is required. A background in medical insurance, including knowledge of ICD-9 and CPT coding, is necessary. Familiarity with medical terminology is required. Previous experience with multi-line switchboard systems is advantageous.
