Key Responsibilities:
  • Closing all completed repair orders and notifying the service advisor or customer of the total charges.
  • Verifying the accuracy of repair orders to ensure correct labor and parts charges.
  • Maintaining proper procedures for collecting shop supplies, gas, oil, and grease, as well as sales taxes.
  • Preparing billing information for charge and extended warranty repair orders, including necessary copies and purchase orders.
  • Maintaining a filing system for repair order copies for quick retrieval of information.
  • Reconciling daily the total of funds collected to the balance in the cash drawer, documenting any discrepancies.
  • Ensuring each customer is promptly assisted and notifying management of any dissatisfied customers.
  • Assisting service advisors, the service manager, and receptionist with taking customer appointments or messages.
  • Receiving cash, checks, and credit card payments from customers and recording the amount received on the repair order and/or counter ticket.
  • Computing or re-computing customer bills using our dealership's computer system.
  • Making change accurately and issuing receipts to customers.
  • Having every repair order signed by the customer at time of payment.
  • Verifying totals of counter tickets and repair orders on adding machine tape and comparing against all cash, checks, and credit card payments on hand at end of shift.
  • Notifying business management of any customer pay repair orders and counter tickets left unpaid at the end of the second day of the repair order date.
  • Staying up-to-date with new products and services offered and any changes in price.
  • Referring customers with additional questions to the service advisor or other appropriate individual.
  • Handling customer complaints with integrity and poise.
  • Providing cash refunds accurately to customers for approved returned merchandise.
  • Maintaining service files in a timely manner.
  • Performing receptionist duties as requested.
Requirements:
  • Excellent math and clerical skills.
  • Experience as a cashier, customer service representative, or accounting clerk.
  • Ability to communicate verbally with customers and other employees.
