Role Overview:

The Project Coordinator plays a crucial role in providing essential operational support to various projects and teams. This position may involve being a part of a project team or handling specific tasks as needed.

Key Responsibilities:

  • Project Engineering Support:
    • Initiate new project setups within project management tools.
    • Establish and maintain the document control process for projects.
    • Facilitate the Request for Information (RFI) process.
    • Develop and manage submittal and procurement logs.
    • Review and authorize submittals and shop drawings.
    • Oversee material procurement, including site visits for updates on fabrication and procurement status.
    • Generate and distribute documentation to support quality assurance processes.
    • Prepare and disseminate safety-related documentation.
    • Create and circulate punchlists for project completion.
    • Assist in or lead project closeout activities.
  • Project Management Assistance:
    • Draft scopes of work for subcontractors.
    • Maintain and update meeting minutes.
    • Review bulletins and draft narratives for scope modifications.
    • Distribute relevant bulletins to stakeholders.
    • Monitor subcontractor Construction Change Notices and related pricing.
    • Compile pricing for Construction Change Notices and draft necessary documentation.
    • Issue and track subcontractor Statements of Account.
    • Support management of Extra Work Tickets.
    • Prepare change orders for subcontractors.
    • All drafted documents will be submitted to the Project Manager for review and approval.
    • Provide mentorship to Project Engineers.
    • Engage in Continuous Improvement initiatives.

Qualifications:

  • Bachelor's degree in construction management, engineering, or a related field.
  • 1 to 3 years of experience in commercial construction, particularly in sectors such as retail, entertainment, logistics, manufacturing, hospitality, or office environments.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
  • Familiarity with project management software (e.g., Procore, Sage, CMC, Contract Manager, Plans and Specs, Constructware, SharePoint, Viewpoint).
  • Experience with estimating software (e.g., Timberline, Win Est., Quote Express, On-Screen Quantity Takeoff) is advantageous but not mandatory.
  • Exceptional attention to detail and organizational skills, with the ability to manage multiple priorities effectively.
  • Exhibits a proactive approach and a strong desire to support a variety of initiatives.
  • Ability to interact professionally and effectively with colleagues and management.
