Job Summary

The role involves engaging with both internal and external clients regarding inquiries related to orders, products, deliveries, technical details, and other related matters as necessary.

Key Responsibilities:

  1. Foster a positive relationship with internal and external clients and colleagues.
  2. Process order entries via email, EDI, or phone communications.
  3. Handle customer service inquiries effectively.
  4. Oversee the email inbox for customer communications and manage general inboxes for national accounts.
  5. Upload all order documentation into the order management system.
  6. Facilitate RMAs for product returns from customers.
  7. Assist clients with product identification, pricing inquiries, and provide guidance on their concerns.
  8. Generate reports on backorders, TRIPI, and allocations.
  9. Manage return authorizations and credit memos.
  10. Process EDI orders, lab samples, and freight quotations.
  11. Maintain consistent communication with the shipping department.
  12. Handle remittance processing on a weekly basis.
  13. Manage invoicing for national accounts.
  14. Support and mentor new and existing team members, including covering for colleagues as needed.
  15. Perform additional duties as assigned.

Essential Functions:

  • Strong communication and interpersonal skills are essential.
  • Ability to accurately document information for use by colleagues, clients, vendors, and others.
  • Detail-oriented with a good grasp of basic mathematics and the ability to work collaboratively.
  • Capable of working independently and making sound decisions.
  • Ability to process tasks accurately while managing multiple responsibilities simultaneously.
  • Proficient in using computers and related applications.
  • Skilled in operating office equipment such as printers, copiers, and telephones.
  • Ability to remain stationary in an office environment for extended periods.
  • Physical requirements include sitting, moving around the office, and handling materials.
  • Must maintain a professional appearance at all times.

Education, Experience, and Qualifications:

  • High School Diploma or GED equivalent is required.
  • A minimum of two years of experience in customer service is preferred.
  • Familiarity with computer applications is necessary.
