The primary responsibility of the Staffing Coordinator is to guarantee optimal staffing levels within the nursing department of the facility. This involves the creation, management, and adjustment of master schedules to accommodate both planned and unplanned absences, ensuring that resident care needs are met in accordance with budgetary constraints and facility directives.
Authority and Responsibilities
As the Staffing Coordinator, you hold the necessary administrative authority and accountability to fulfill your designated responsibilities effectively.
Key Responsibilities
The following outlines the essential duties associated with this role, although it is not an exhaustive list:
- Developing, managing, and updating master nursing schedules using approved scheduling software.
- Collaborating with the Director of Nursing and other administrative personnel to ensure sufficient staffing and to address any identified issues.
- Maintaining precise records of census, staffing hours, and ratios to comply with relevant state and federal regulations as well as facility policies.
- Evaluating requests for paid time off, vacations, maternity leave, Family Medical Leave Act (FMLA) leave, and other types of leave.
- Proactively filling staffing vacancies to ensure comprehensive coverage across all shifts.
- Keeping detailed attendance records and supporting the disciplinary process for staff with excessive absences or tardiness.
- Coordinating with unit managers and nursing leadership regarding orientation schedules for newly hired nursing staff.
- Reviewing time clock records against master schedules and making necessary adjustments.
- Signing off on time correction forms for issues such as missed meal breaks or clocking errors.
- Addressing personnel inquiries related to leave requests, attendance, time clock discrepancies, and scheduling.
- Assisting with applicant inquiries as needed.
- Preparing reports as requested.
- Responding to resident call lights when present in resident areas.
- Participating in required continuing education programs.
- May be called upon to assist in other roles as directed.
- Engaging in committees as required by management.
- Performing additional duties as assigned.
- The Staffing Coordinator typically operates in a climate-controlled office environment but is expected to move throughout the nursing service area.
- Frequent interruptions are common.
- Interaction with residents, staff, visitors, and regulatory personnel occurs under various conditions, including potentially challenging situations.
- This role may require working beyond standard hours, including weekends and holidays, and may involve temporary assignments in other positions as necessary.
- Exposure to various workplace hazards, including slips, burns, and airborne contaminants, is possible.
- Potential exposure to infectious materials and hazardous chemicals may occur.
- Ability to move throughout the workday.
- Proficiency in spoken and written English is required; knowledge of additional languages is advantageous.
- Capacity to manage the mental and emotional demands of the position.
- Ability to see and hear adequately, with or without assistive devices, to fulfill job requirements.
- Must work independently while demonstrating flexibility, integrity, and effective collaboration with residents and staff.
- Must meet the health standards set by facility policies.
- Ability to relate to and work with individuals who are ill, disabled, elderly, or emotionally distressed.
- Must be able to lift and move at least 25 pounds and assist in resident evacuations during emergencies.
- Extended periods of sitting and typing are expected.
- Dexterity in typing and writing is necessary.
- High School diploma or equivalent is required.
- Certification as a Nursing Assistant (CNA), Licensed Practical Nurse (LPN), or Registered Nurse (RN) is required.
- Previous experience is preferred but not mandatory; on-the-job training will be provided.
- Must maintain a clear status on background screening.
- Must hold a current and valid CNA certification, LPN, or RN license.
- Proficiency in English is required.
- Ability to work collaboratively and supportively within a team environment.
- Capability to make independent decisions when necessary.
- Ability to interact tactfully with various stakeholders.
- Willingness to seek and implement new methods and practices in nursing.
- Must not pose a direct threat to the health and safety of others in the workplace.
