Job Summary:

This role is part of the administration team and is responsible for ensuring smooth day-to-day operations in the SMG physician practice.

The Patient Service Specialist must maintain a professional, positive manner when interacting with patients, either in-person, over the phone, or via email.

Key Responsibilities:

  • Answer calls and route them appropriately, taking messages and following up to ensure the relevant physician or staff member receives the information.
  • Provide routine information to callers and only offer authorized medical advice from a provider.
  • Offer a high level of customer service to all new and existing patients of the practice.
  • Create patient cases and document telephone calls and messages into Athena or other EMR.
  • Schedule patient appointments and necessary testing for patients as requested.
  • Register patients in EMR and verify information, including demographics and accurate health insurance details.
  • Conduct eligibility checks to ensure insurance is accurately reflected.
  • Collect required insurance co-pays from patients, including any prior balances.
  • Follow scheduling notes and direct patient visits in other SMG practices as advised.
  • Perform pre-visit planning daily for all upcoming scheduled appointments, including running insurance eligibility.
  • Responsible for obtaining prior authorizations and/or insurance referrals as needed.
  • Perform outreach to select patient groups as directed for patient care and quality measurement/guidelines.
  • Schedule specialty appointments/testing as required.
  • Work in EMR buckets as directed and per practice need.
  • Responsible for informing the manager of administrative supply needs or assisting with ordering.
  • Follow up with providers on missing slips and create claims in Athena.
  • Responsible for working assigned revenue cycle buckets as directed.
  • Must be able to work independently with minimal supervision.
  • Adhere to SMG policies.
  • Ensure patient confidentiality at all times.

Requirements:

  • Strong customer service skills.
  • Excellent communication and interpersonal skills.
  • High School Diploma or equivalent required.
  • One to three years of experience as a medical secretary preferred.
  • Experience with EMR, particularly Athena, is strongly preferred.
  • Proficiency in Microsoft Office, Word, Excel, and Outlook is preferred.
