Position Summary

The Department Supervisor is responsible for managing the daily functions of the department, ensuring smooth operations, adherence to production timelines, and compliance with quality benchmarks. This role includes overseeing machine operators, coordinating maintenance schedules, and driving process enhancements to boost productivity and reduce downtime.

Key Responsibilities

Leadership and Supervision:

  • Guide, manage, and inspire a team.
  • Facilitate regular team meetings to share objectives, updates, and performance standards.
  • Offer training and development opportunities to improve team capabilities.

Operational Oversight:

  • Manage daily operations to ensure timely and precise job completion.

Quality Assurance:

  • Collaborate with maintenance personnel or external vendors for repairs and technical assistance.
  • Maintain comprehensive records of maintenance and repair activities.

Process Optimization:

  • Identify and implement opportunities for process enhancements to improve efficiency.
  • Work with other departments to streamline operations and minimize costs.

Safety and Compliance:

  • Ensure departmental adherence to all safety regulations and company policies.

Administrative Responsibilities:

  • Prepare and manage production reports, attendance records, and other necessary documentation.
  • Assist in departmental budgeting and cost management.

Qualifications
  • Education: High school diploma or equivalent; additional technical training or certification is advantageous.
  • Experience: 3-5 years in similar operations, with a minimum of two years in a supervisory capacity.
  • Technical Skills: Proficient in operating and troubleshooting mail-inserting machines and related equipment.
  • Leadership Skills: Strong leadership, communication, and interpersonal abilities.
  • Analytical Skills: Capable of analyzing production data and making informed decisions.
  • Problem-Solving: Excellent problem-solving skills with the capacity to manage unexpected challenges effectively.
  • Physical Requirements: Ability to stand for extended periods, lift up to 50 pounds, and perform repetitive tasks.
Decision-Making Authority

Decisions made in this role significantly influence departmental strategy and operations. The position requires analytical skills to interpret various situations and apply knowledge and established practices to resolve issues.

Independence of Action

While results are defined, existing practices serve as guidelines for determining specific work methods. The supervisor/manager is available for problem resolution.

People Management

This role involves supervising others, including planning, assigning, and scheduling work, reviewing outputs, ensuring quality standards, training staff, and overseeing productivity. Recommendations for hiring, termination, and pay adjustments may be made, but final decisions rest with management.

Work Environment
  • Work is conducted in a warehouse or production facility.
  • Exposure to varying temperatures, noise, and dust may occur.
  • Physical demands include lifting 50 pounds, pushing 800 pounds on a load-bearing cart, carrying 25 pounds, and pulling 200 pounds.
  • Use of hand tools, pallet jacks, and forklifts is required.
  • Frequent standing, walking, crouching, bending, kneeling, lifting, and repetitive hand motions are necessary.
  • Personal protective equipment (PPE) may be required.
