Bookkeeper (Part Time) - St. John the Baptist Parish

Diocese of Allentown is seeking a highly skilled and organized Bookkeeper to join our team on a part-time basis. The successful candidate will be responsible for providing financial support to our parish office operations, overseeing staff, facilities, and leases, and ensuring the accuracy and thoroughness of our financial records.
Key Responsibilities:- Reconcile bank statements, accounts receivable, and payment of all invoices, and record all financial information into the accounting system.
- Record and file all billing and payment transactions, and record all deposits.
- Prepare and enter bi-weekly payroll, and record all payroll information into the accounting system.
- Ensure proper recording of all billing automatically withdrawn, maintain the balance of all accounts, and record all receipts and payments for the parish.
- Monthly reconciliation of all accounts, including application of interest and dividends.
- Prepare budget and financial reports for the parish, and ensure they are presented to and signed by the Parish Finance Committee.
- Make certain that the accounting system, bookkeeping, and reporting process for the parish are correct, and ensure that collection counting, deposits, accounting, and contributions continue to remain balanced and that the processes continue to be followed.
- Analyze expenditures and find ways to reduce parish expenses.
- Train new members of the Sunday collection counting teams, and oversee the process to be used by the Sunday collection counters to open and properly record and count the Sunday collection and prepare bank deposits.
- Be present in the parish office on the day of the annual parish festival to prepare cash bags for the various stands, oversee and assist with counting of incoming funds, and prepare bank deposits and if necessary, make deposits during that day.
- Obtain and monitor contracts for yearly services such as preventive maintenance, lawn care, snow removal, pest control, etc. for all parish locations, including cemeteries, when necessary.
- Prepare leases for prospective tenants and tenant renewals, if applicable, and work with the diocese to ensure policy and procedure compliance.
- Respond to all Pennsylvania state requests, including unemployment compensation paperwork, and coordinate efforts with the Pennsylvania Catholic Conference.
- Prepare and submit 1099 statements to the federal government and contractors for the parish, and file all proper paperwork with the city for games of chance licensing and zoning requirements.
- Ensure that all will and estate bequests are received, properly recorded, and that the terms are carried out.
- Provide accounting for all ongoing fundraising efforts, and keep track of monies earned through fundraising.
- Work with the Diocese of Allentown to ensure procedures, reporting, and policies are within Diocesan guidelines.
- Report to the Parish Finance Council on a quarterly basis or more often as necessary, and work with the individual members of the Parish Finance Council to assist them with various tasks for which they are responsible.
- Bachelor's Degree and/or equivalent of other degree and 5 years of related business experience.
- 3 years of supervisory experience.
This is a part-time position averaging 15 hours per week, working 2-3 days. The employee will be required to stand, walk, sit, talk, and hear both in person and by telephone, and will occasionally be required to reach and lift with hands and arms, stoop, kneel, crouch, or crawl, lift and/or move up to 10 pounds.
The employee will be working in a normal office environment, and will be required to have proficiency in Microsoft Office, Accounting software, and database management, as well as other business and office equipment.
The employee must possess excellent organizational and communication skills, and must exhibit a high degree of integrity, loyalty, dependability, and have a strong work ethic. The position continually requires demonstrated poise, tact, and diplomacy, and the employee must possess a high level of interpersonal skills to handle sensitive confidential situations.
The employee must be able to work independently and proficiently, and must be present at key functions and special meetings beyond normal office hours.
