Key Responsibilities:
- Prepare and arrange documentation for client consultations, ensuring all essential paperwork is organized and readily available.
- Maintain regular communication with clients to collect information and provide updates regarding their estate planning cases.
- Manage attorneys' schedules, coordinating client meetings, including initial consultations and document signings.
- Respond to client inquiries via phone or email, assisting with form completion and document comprehension.
- Ensure adherence to state and federal regulations in all estate planning documentation and processes.
- Keep organized and current client files, both physical and digital, ensuring all documents are accurately filed and easily retrievable.
- Monitor deadlines and significant dates, such as review periods for trust administration and probate processes.
- Assist attorneys in trust and estate administration, including gathering and organizing necessary documents, preparing accounting, and filing paperwork with the court.
- Collaborate with financial institutions, beneficiaries, and other parties involved in the probate process.
- Perform routine administrative duties such as answering phones, managing correspondence, and overseeing office supplies.
- Prepare billing statements and manage time entries for estate planning matters.
Qualifications:
Required Skills/Abilities:
- Strong grasp of estate planning terminology and procedures.
- Outstanding written and verbal communication skills.
- Proficiency in office software (e.g., Microsoft Office, document management systems).
- Exceptional organizational abilities and attention to detail.
- Capability to manage multiple tasks and prioritize effectively.
- Strong client service orientation and the ability to maintain confidentiality.
- Positive demeanor and the ability to thrive in a dynamic environment.
Education and Experience:
A high school diploma or equivalent is required; an associate's degree or paralegal certification is preferred. A minimum of 2 years of experience as a legal assistant, particularly in estate planning or a related field, is desirable.
Working Conditions:
