KEY RESPONSIBILITIES:
- Continuously assess the billing and collection workflow for optimal efficiency and cost management.
- Generate spreadsheets and reports related to collections as instructed by the financial manager.
- Monitor account statuses and balances, identifying any discrepancies.
- Update the accounts receivable system with new accounts or overdue payments.
- Ensure clients are well-informed about their outstanding balances and payment deadlines.
- Engage with clients regarding invoices and financial commitments during the billing and collection process.
- Provide effective solutions to client-related issues.
- Conduct weekly collection calls for outstanding payments.
- Distribute monthly statements to clients.
- Prepare comprehensive reports on billing activities with accurate data.
- Input relevant data into accounting software for customer and job records.
- Manage the initiation and closure of all projects.
- Review accounts receivable statements for open and unbilled expenses.
- Ensure all records associated with this function are securely filed and accessible only to authorized personnel.
- Train other staff members as needed.
- Assist other office personnel when required by the supervisor.
- Perform additional tasks as assigned by your supervisor, ensuring adherence to schedules and deadlines.
- Reconcile approved job estimates with labor resources.
- Verify that all jobs are included in the billing schedule.
- Engage in deeper analysis as necessary.
- Generate reports such as: Open Sales Order Status, Job Progress vs. Estimate, Unbilled Costs by Job, Accounts Receivable Aging, and others as assigned.
- Ensure timely billing and closure of service invoices.
- Maintain collection reports, ensuring accounts do not exceed 60 days overdue.
- Provide phone coverage when needed, ensuring all calls are answered promptly and courteously.
- Greet visitors with a positive demeanor and report any suspicious activity to management.
