About the Role

We are seeking a highly organized and detail-oriented Tenant Coordinator to join our Property Management Division. As a key member of our team, you will be responsible for providing exceptional customer service to tenants, vendors, and employees, while maintaining a high level of professionalism in a fast-paced environment.

Key Responsibilities
  • Serve as the primary point of contact for tenants and vendors, addressing their needs and concerns in a timely and efficient manner.
  • Communicate effectively with building tenants, retail tenants, and COA regarding property-related matters, including maintenance projects, events, and parking rules.
  • Maintain accurate records and databases, including lobby digital directories, tenant and vendor listings, and certificates of insurance.
  • Coordinate and schedule tenant and property events, including seasonal and holiday decorations.
  • Assist with scheduling maintenance and coordinating with vendors to ensure timely completion of tasks.
  • Process invoices and maintain a schedule of payments due, ensuring accurate and timely payment to vendors.
  • Perform annual tenant certificate of insurance audits and maintain updated records.
  • Recommend and plan approved marketing events to promote the property and enhance the tenant experience.
  • Handle mail and ensure timely delivery of invoices to corporate.
  • Copy and file invoices, maintaining accurate records for accounting purposes.
  • Maintain office and kitchen supplies, ensuring a well-stocked and organized workspace.
  • Perform other duties as assigned by management.
Requirements
  • High school diploma; degree from a four-year college or university a plus.
  • Two or more years of related experience and/or training required.
  • Strong interpersonal and communication skills, with the ability to maintain professionalism in a sensitive environment.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Ability to work independently and as part of a team, with a strong sense of urgency and flexibility.
  • Ability to manage a large workload and adapt to changing priorities.
  • Knowledge of office administrative duties, including the operation and troubleshooting of typical office equipment.
  • Excellent working knowledge of MS Office (Word, Excel, and Outlook) and work order database.
