Job Overview

The Patient Services Coordinator plays a vital role in welcoming patients both over the phone and in person at the front office. This position involves scheduling appointments, managing referrals, and preparing necessary documentation. The Coordinator operates under the guidance of the office manager, ensuring that all tasks are performed with professionalism and courtesy.

KEY RESPONSIBILITIES:

  • Welcome patients and their families as they arrive at the office.
  • Handle incoming phone calls and direct them to appropriate team members.
  • Respond to voicemail messages and Patient Gateway inquiries for both urgent and routine appointments.
  • Process payments made via cash, check, or credit card at the time of service.
  • Organize and distribute incoming mail and faxed documents to relevant staff.
  • Confirm patient demographic details and insurance coverage.
  • Alert nursing staff about patients arriving at the office, especially those needing immediate attention.
  • Manage provider schedules efficiently.
  • Perform typing, photocopying, and other document management tasks as required.
  • Assist in coordinating urgent referrals for specialists and imaging services.
  • Monitor the reception area and waiting room, reporting any potential infection control issues to nursing staff.
  • Communicate identified needs of patients and families to the care team.

QUALIFICATIONS:

  • Proficiency in Spanish or Portuguese is preferred.
  • Strong written and verbal communication skills, along with excellent organizational abilities.
  • Capability to work independently while also collaborating effectively within a team.
  • Experience handling sensitive medical information with adherence to HIPAA regulations.
  • Familiarity with electronic medical records (EMR), Microsoft Office, and email applications.

EDUCATION AND EXPERIENCE:

A high school diploma or equivalent (GED) is required.

PHYSICAL REQUIREMENTS:

Ability to see and hear adequately to understand written and verbal communications. The role may involve physical activities such as lifting supplies and equipment, as well as extensive periods of standing, walking, or sitting.

WORK ENVIRONMENT:

The typical noise level in the workplace is moderate. This position may require working at multiple locations as needed.
