Job Overview

The Graham Companies is seeking a dedicated Reservations Agent to enhance our guests' experience through effective reservation management. Our establishment is a premier destination catering to both business and leisure travelers, providing a unique full-service hotel resort experience.

Primary Responsibilities:

The Reservations Agent plays a crucial role in facilitating the booking process for our guests. This position involves meticulous data entry into the hotel's property management system (PMS) and collaboration with fellow agents to ensure accuracy and efficiency in all reservations.

Key Duties Include:

  • Generating and analyzing Opera reports, including daily summaries.
  • Maintaining precision in reservation entries.
  • Collaborating with the Sales Team to assist with group bookings and client inquiries.
  • Verifying that the rates offered are accurate and competitive.
  • Monitoring daily occupancy levels.
  • Reviewing group resumes and adapting to changes and requests.
  • Upholding service standards by responding to customer feedback effectively.
  • Adhering to established protocols when handling guest communications.
  • Following company policies and procedures.
  • Performing additional tasks as required.

Supervisory Responsibilities:

  • This position does not include supervisory duties.

Qualifications:

  • A High School diploma or GED is required.
  • At least one year of experience in a Front Office or Reservations role within the hospitality sector.
  • Experience in a Front Office or Reservations capacity is preferred.

Essential Skills:

  • Strong attention to detail and accuracy, particularly with numerical data.
  • Excellent verbal and written communication skills.
  • Highly organized with the ability to manage multiple tasks efficiently.
  • Integrity and professionalism in all interactions.
  • Exceptional telephone etiquette and communication skills.
  • Proficiency in both English and Spanish is advantageous.

Technical Proficiencies:

  • Proficient in computer systems and software applications for data entry and information processing.
  • Ability to apply mathematical skills to resolve basic issues.
  • Capable of working independently and completing assignments with minimal supervision.
  • Adaptable to a dynamic work environment with shifting priorities.
  • Familiarity with Microsoft Office applications (Word and Outlook) and willingness to learn specific software as needed.
  • Ability to maintain accurate records and organize documentation for efficient processing.
  • Effective in both verbal and written communication in English.
  • Skilled in following instructions and organizing tasks for timely completion.
  • Ability to perform detail-oriented tasks in a fast-paced environment.
  • Consistent attendance and punctuality are essential.
