Facilities Operations Specialist

We are seeking a highly motivated Facilities Operations Specialist to provide support to our site and assist Facility Managers with operational activities in maintenance and operations, vendor oversight, equipment and supplies, occupancy services, and proactively develop and maintain client relationships, ensuring that expected service levels are achieved.

Key Responsibilities:- Actively promote a collaborative environment of teamwork, performance excellence, and personal success.
- Conduct daily walkthroughs to ensure clean and organized facilities, maintaining a safe workplace.
- Respond promptly to all work orders, providing excellent customer service.
- Identify opportunities for improved operation and service excellence, recommending site inspections and assessments to ensure compliance with building procedures and performance measures.
- Schedule and manage repairs and maintenance, minor works, and other work requests, tracking them to completion.
- Provide guidance to vendors and other service providers to ensure seamless coordination and execution of work with minimal disruption.
- Support events, meetings, and conference facilities as required.
- Maintain and propose emergency response plans, including evacuation procedures, after-hours emergency response, and environmental health and safety protocols.
- Coordinate site operations in accordance with agreed policies, procedures, and contract scope.
- Perform tasks such as opening and closing the facility, arming/disarming the alarm system, and assisting with reception and guest support, mail and courier services, office supplies, equipment maintenance, landlord relations, and building access passes.
- Minimum 1 year of experience in multi-site environments, preferably in manufacturing, warehouse, or distribution settings.
- High school diploma or technical certification preferred.
- Familiarity with local occupational health and safety regulations, critical facilities, and vendor management for specialized services is advantageous.
- A basic understanding of property technical aspects (computer room air-conditioning, chiller system, fire protection system, mechanical & electrical system) is beneficial.
- Proficiency in various information technology tools and platforms.
- Excellent communication, organization, and problem-solving skills.
- Ability to work independently with minimal supervision and handle stressful situations effectively.
- Self-motivated, confident, energetic, and flexible individual.
- Ability to lift 50lbs, bend, carry, and sit, stand, or walk for prolonged periods.
