Key Responsibilities:

  1. Maintain Accurate Records: Ensure that all student records are up-to-date, accurate, and compliant with federal and state regulations.
  2. Input and Update Data: Enter and update required data into the school's information system, including student information, staff data, and special education records.
  3. Support Team Chairs and Supervisors: Provide administrative support to Team Chairs and Supervisors, including preparing reports, maintaining filing systems, and coordinating special education services.
  4. Communicate Effectively: Communicate effectively with students, parents, teachers, and other staff members to ensure that special education services are delivered efficiently and effectively.
  5. Maintain Confidentiality: Maintain confidentiality of student records and special education information at all times.

Requirements:

  1. Secretarial Experience: Successful secretarial experience within a public or private organization's management office or equivalent experience.
  2. Software Applications: Demonstrated experience with software applications, including Microsoft Office, SIS, and MUNIS.
  3. Communication Skills: Demonstrated ability to communicate effectively with others and to maintain confidentiality at all times.
  4. Initiative and Collaboration: Ability to take initiative and work collaboratively with others within an educational office environment.

Performance Responsibilities:

  1. Work with Software Applications: Work with software applications, including SIS, MUNIS, MS Office, and Googledocs, as necessary.
  2. Prepare Reports: Prepare student, staff, and school reports as required by federal and state agencies.
  3. Collaborate with Staff: Work collaboratively with personnel and support staff to address any clerical needs of the office/department.
  4. Collect and Maintain Data: Collect and maintain necessary data, including staff and student data, for the functionality of the office/department.
  5. Prepare Correspondence: Prepare correspondence and documents, as requested by supervisor.
  6. Maintain Special Education Files: Maintain accurate and organized special education files.
  7. Track Spreadsheets: Maintain accurate tracking spreadsheets and share with team chairs and supervisors.
  8. Pull Files: Pull files for team chairs and special education staff and maintain an accurate access log.
  9. File Paperwork: File all returned paperwork within a timely manner.
  10. Mail Documents: Mail all documents in the parent's native language.
  11. Run Calendars: Run 30/45 day calendar for team chairs and supervisors before the start of the school year.
  12. Run Special Education Roster: Run special education roster with annual review and re-evaluation dates for team chair and supervisors before the start of the school year, adding new students as needed.
  13. Follow Process: Follow process for rejected or partially rejected IEPs and send information to DESE according to timelines.
  14. Coordinate ESY: Assist in the coordination of ESY as directed by Special Education Supervisors.
  15. Process Records Requests: Process and complete all records requests from school, families, or outside agencies on behalf of families.
  16. Develop Files: Develop files for new & transfer-in students, scan active IEP, create a draft in SIS, notify appropriate staff.
  17. Contact Sending Districts: Contact sending school districts for additional records for new students as needed.
  18. Complete Required Fields: Accurately complete required fields in SIS information management system.
  19. Other Responsibilities: Perform any other related clerical responsibilities deemed necessary by supervisor.
