Vaco is seeking a dedicated professional for a remote Accounting Specialist position.

The Accounting Specialist will collaborate with the finance team to ensure the organization receives precise and timely financial data. This role is responsible for overseeing daily operations related to invoicing, cash management, payables, and receivables. The Accounting Specialist will work closely with the Finance Manager during critical reporting periods to support the delivery of accurate financial statements to the organization’s staff and Board of Directors.

KEY RESPONSIBILITIES: Additional tasks may be assigned.
  • Accounts Payable:
    • Review, prepare, and enter all invoices for payment processing.
    • Generate checks post-printing for signature; prepare and dispatch.
    • Facilitate and document outgoing wire transfers.
    • Investigate and resolve any discrepancies.
  • Accounts Receivable:
    • Process and record all receivable transactions accurately.
    • Handle credit card payments and adjustments.
    • Prepare bank deposits efficiently.
    • Maintain records of invoices and manage collections of overdue accounts.
    • Gather all online credit card processing reports.
    • Collaborate with departments to reconcile credit card transactions, event registrations, and educational reports.
  • Download and manage company credit card transactions monthly, including generating detailed activity reports and verifying receipts with cardholders for proper expense coding.
  • Input manual payments and wire transfers into GP Dynamics.
  • Establish new vendor accounts in Aptify / GP Dynamics as necessary; request W9 forms for new vendors.
  • Address all membership and vendor inquiries promptly.
  • Assist in the monthly closing process by resolving discrepancies and generating month-end reconciliation reports.
  • Support annual audit tasks, including confirmations for accounts payable and receivable, bank confirmations, and assisting in reconciling general ledger accounts as needed.
EDUCATION AND EXPERIENCE REQUIREMENTS:
  • Minimum of an Associate's degree in a relevant field.
  • 1-3 years of experience in accounting transactions.
  • Familiarity with Microsoft Dynamics GP or similar corporate software is preferred.
  • Experience with Aptify membership management software is advantageous.
