Role Summary

We are currently seeking a qualified individual for the role of Graduation Records Coordinator. This full-time position involves managing student academic documentation, overseeing the university's course sharing system, and facilitating student enrollment and classroom allocations. Collaborating with students, faculty, and administrative staff, this role is essential in maintaining an office that prioritizes exceptional service delivery. This position is based at our Mequon, Wisconsin campus and reports directly to the Registrar.

Key Responsibilities

  • Assess and verify the academic records of graduate students for final degree confirmation.
  • Manage the processing of diplomas, including requests for reprints.
  • Handle the evaluation of transfer credits for graduate programs.
  • Maintain inventory and order office supplies as needed.
  • Oversee the processing of grade modifications.
  • Update student information, including name and address changes.
  • Assist in the preparation of graduation ceremony materials.
  • Provide support through phone and email communications, addressing inquiries related to registration, forms, and schedules.
  • Perform additional duties as assigned.

Qualifications and Skills

  • Experience with student information systems, particularly Ellucian Banner and EMS.
  • Proficient in Microsoft Office Suite, including Access, Excel, Word, and Outlook.
  • Ability to quickly adapt to new technologies and procedures.
  • Strong capacity to work both independently and collaboratively.
  • Detail-oriented with a strong aptitude for data management.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information.
  • Willingness to work flexible hours, including evenings and weekends, as required.

Educational Background

A bachelor's degree is mandatory, with a preference for candidates possessing at least two years of experience in a higher education setting.
