Position Summary:
The Healthcare Reception Specialist will be responsible for welcoming patients, managing patient files, and facilitating the flow of patients through a structured appointment schedule at a medical facility. Additional administrative responsibilities may include preparing correspondence, processing referrals, scheduling appointments, handling phone inquiries, processing payments, verifying insurance coverage, and providing support within the office as required.
Reporting Structure:
- Reports to the Front Office Team Lead and Practice Administrator.
Key Responsibilities:
- Greets patients and visitors at the medical facility, addressing inquiries in person and over the phone, and directing questions to appropriate staff.
- Provides information regarding the facility, including the location of departments, staff members, and available services.
- Handles patient check-ins, collecting identification and insurance information as necessary.
- Organizes daily examination schedules for healthcare providers.
- Utilizes Phreesia for efficient patient check-in processes.
- Retrieves and organizes patient files, ensuring all documents are in the correct order for provider review.
- Accurately uploads patient documentation into the Electronic Medical Record (EMR) system promptly.
- Accesses and schedules new appointment requests submitted via the website.
- Maintains patient schedules by notifying providers of any delays in services.
- Assists patients in distress, including contacting emergency services or arranging transportation when necessary.
- Keeps the reception area tidy and organized.
- Provides assistance with insurance documentation and billing inquiries.
- Performs various administrative tasks, including proofreading, transcribing information, and managing financial records.
- Handles incoming and outgoing mail, ensuring timely delivery and processing.
- Participates in emergency protocols as needed, assisting colleagues and patients during critical situations.
- Schedules appointments for physicians to enhance patient satisfaction and optimize provider time.
- Processes payments and maintains accurate records of transactions.
- Undertakes additional office and reception duties as assigned.
Qualifications:
- Strong understanding of office procedures and the ability to respond to patient inquiries accurately.
- Familiarity with administrative and clerical processes, including word processing and record management.
- Knowledge of customer service principles and practices.
- Proficient in medical terminology and patient account management.
- Ability to effectively use EMR systems, with preference for experience in Centricity.
- Commitment to maintaining confidentiality and professionalism.
- Excellent communication skills, both written and verbal, with the ability to interact effectively with patients and staff.
- Team-oriented mindset with a focus on fostering a positive work environment.
- Strong listening skills and the ability to comprehend and respond to information accurately.

Education and Experience:
- High school diploma or GED required; Associate's degree or higher preferred.
- 2-3 years of experience in administrative roles within a medical office setting.
- Experience with Phreesia and Centricity is preferred.
- Proficient in operating standard office equipment.
- Background in customer service is beneficial.
Physical Requirements:
- Ability to sit or stand for extended periods while performing tasks at a desk or on a computer.
- Frequent operation of office machinery, including computers and printers.
- Capability to lift and transport items weighing up to 25 pounds.
- Effective communication and comprehension skills.
- Ability to manage stress while handling multiple tasks and interactions.
