Position Overview:
The Event Management Specialist is responsible for the planning, execution, and follow-up of events organized both on and off campus. This role includes crafting invitations, selecting venues, arranging seating, and negotiating with vendors such as florists, caterers, and event space personnel. The specialist will also oversee on-site contract staff and student workers.

Departmental Insights:
This position is situated within the Alabama Water Institute (AWI), one of five research institutes at the University of Alabama. AWI promotes interdisciplinary collaboration among various academic disciplines to address critical water-related issues facing Alabama and the global community. Researchers affiliated with AWI focus on areas such as water security, quality, remote sensing, and watershed management, leveraging partnerships with programs like the NOAA Cooperative Institute for Research to Operations in Hydrology and the Global Water Security Center.

The Alabama Water Institute seeks an Event Management Specialist to facilitate the execution of AWI initiatives, coordinating all aspects of events and special programs.

The specialist will lead the planning, implementation, execution, follow-up, and budgeting of events held on and off campus.

Key responsibilities include conceptualizing event themes, developing invitation lists, selecting venues, managing seating arrangements, overseeing inventory, and negotiating with vendors to ensure cost efficiency.

The role also involves managing on-site contract personnel, clerical support, and student assistants; developing and overseeing event budgets; and coordinating transportation to event locations.

Maintaining a comprehensive database of past and current AWI events and continuously researching best practices and emerging technologies are essential for ensuring the quality of AWI events and special programs.


Required Qualifications:
A bachelor's degree with some experience in event planning or coordination; OR an associate's degree with two (2) years of relevant experience; OR a high school diploma or GED with four (4) years of event planning or coordination experience.

Skills and Competencies:
Exceptional written and verbal communication, interpersonal, and organizational skills. Strong planning, organizational, and problem-solving abilities. Proven leadership skills.

Preferred Qualifications:
Experience in managing event-related programming. Willingness to travel.
