About the Position

We are seeking a highly organized and detail-oriented Production Logistics Coordinator to support our Creative Production department. This role involves coordinating logistics for photoshoots, including booking transportation and lodging, managing talent correspondence with agencies, and handling monthly invoice and credit card reconciliations. The ideal candidate will have experience in finance or accounting to ensure accuracy in financial record-keeping and reconciliations.

Main Responsibilities
  • Photoshoot Logistics
    • Coordinate travel arrangements, including flights, trains, and car services, for models, photographers, and other personnel involved in photoshoots.
    • Manage hotel reservations and maintain an up-to-date schedule of travel and lodging bookings.
  • Talent Booking and Management
    • Act as the primary point of contact for modeling and talent agencies.
    • Coordinate the booking of models, photographers, stylists, and other talent for photoshoots.
    • Ensure all contracts and agreements are finalized and in order, maintaining clear communication between the creative production team and the agencies.
  • Financial Record-Keeping
    • Track and manage all invoices related to transportation, lodging, and production expenses.
    • Reconcile invoices at the end of each month, ensuring accuracy and addressing any discrepancies.
    • Collaborate with hotels, transportation providers, and agencies to ensure accurate billing.
  • Administrative Support
    • Provide general administrative assistance to the Production team, including scheduling meetings, managing calendars, and assisting with day-to-day tasks as needed.
    • Assist in maintaining and organizing files, documents, and records related to production logistics.
    • Work closely with the Human Resources Department to onboard all new freelancers.

Estimated salary range: $60,000 - $75,000 per year.
