The Production Manager plays a pivotal role within the IMS Technology Services Event Staging team, ensuring exceptional event management through thorough research and comprehension of the anticipated experience, effective communication, coordination, and accountability within the team.
Key Responsibilities:
- Strategically design, develop, and execute successful events that fulfill outlined objectives and surpass client expectations.
- Oversee all activities and communications related to the timely, precise, and budget-compliant completion of assigned events.
- Manage both internal and external personnel during the planning and execution phases, taking personal responsibility for the financial outcomes of each event.
- Create and maintain budgets and expense tracking for multiple projects, ensuring adherence to IMS standards and expected revenue targets. Promptly notify management of any potential charges or issues that may affect the financial success of the event.
- Collaborate with the operations team to establish and maintain key vendor relationships, ensuring optimal product delivery and pricing for clients. Negotiate and review contracts with vendors, hotels, and venues as necessary.
- Participate in needs analysis meetings and site surveys to support the events team.
- Work alongside the Sales team to estimate project requirements, ensuring alignment with IMS core values.
- Translate client requirements into comprehensive proposal documents that align with IMS standards, creating professional and complete proposals for each identified event.
- Maintain and update task lists, appointments, meetings, and other event-related activities in Outlook.
- Contribute to the development of standards that enhance the design and sales process, providing innovative ideas and solutions for projects and events.
- Assist the sales team in producing accurate financial projections that support the scope of work for new proposals.
- Manage and uphold IMS Event Staging Production Management Key Performance Indicators (KPIs).
- Collaborate with the IMS engineering team during event development.
- Oversee all facets of event/meeting production, including pre-event preparation, logistical planning, asset utilization, internal communication, industry research, on-site execution, post-event analysis, and account management as required.
- Identify new methods and resources for event trends and planning within accounts, establishing best practice guidelines for future opportunities.
- Support and balance workload within SPM accounts.
- Provide detailed cost analysis reviews for all managed event budgets.
- Create and deliver comprehensive show books for all events.
Qualifications:
- A minimum of 2 years of experience in event project management, with at least 5 years in supporting on-site event operations.
- Bachelor's degree in communications, marketing, or a related field, or equivalent experience.
- Strong organizational and planning skills to effectively manage multiple programs and resources simultaneously, making immediate and critical decisions based on company values and guidelines.
- Proficient decision-making and problem-solving skills grounded in agency, client, and industry knowledge.
- Able to lead small to medium-scale live events involving multiple agencies, vendors, and client participation.
- Demonstrated ability to apply best practices and insights from previous projects to enhance personal and team performance.
- Significant client-facing experience, showcasing exceptional communication, organizational, and problem-solving abilities.
- Willingness to adapt to changes in project schedules and work non-traditional hours, including weekends and travel (up to 50%).
- Motivational leadership skills with the ability to influence and inspire teams to deliver outstanding experiences.
- Proficient in Microsoft Office, Vector Works, and Mac OS.
