To excel in this role, the individual must successfully fulfill the following key responsibilities:
PROGRAM MANAGEMENT
- Supervise daily operations for all clinical staff, ensuring safe and efficient workflows, effective scheduling systems, and management of clinic activities.
- Collaborate with the executive team to develop and manage a budget that supports the agency's growth and sustainability.
- Establish and nurture relationships with community partners to enhance business development and referral opportunities.
- Maintain high standards of clinical practice based on contemporary theories and best practices, addressing the needs of clients with complex mental health challenges.
- Ensure adequate clinical coverage by assigning cases and managing workloads effectively.
- Participate in recruitment and staffing processes to maintain optimal staffing levels across all locations.
- Develop and implement strategic goal plans for the clinical team.
- Coordinate staff activities to deliver comprehensive services to individuals and families.
- Ensure timely completion of required documentation and forms.
- Oversee consumer scheduling for direct services in collaboration with the program medical director.
- Facilitate ongoing clinical collaboration among staff to ensure continuity of care for shared clients.
- Attend and lead multidisciplinary treatment team meetings and other required organizational meetings.
- Conduct weekly meetings with the program director to provide updates and discuss program effectiveness and best practices.
- Engage with prescribers regularly to discuss standards of care and patient management.
- Serve as a primary contact for communication with clients, families, and staff, ensuring timely responses.
- Maintain a manageable caseload while ensuring adherence to deadlines.
- Provide coverage for patients in the absence of clinical staff.
- Facilitate training sessions for staff development.
- Address internal and external complaints promptly.
- Meet all administrative obligations as per regulatory standards and submit quality assurance reports regularly.
- Ensure compliance with relevant regulations and standards, including CARF, COMAR, and HIPAA.
- Uphold electronic medical records (EMR) standards and ensure timely documentation by staff.
- Maintain up-to-date treatment plans and ensure all necessary signatures are obtained.
- Ensure compliance with training mandates for all staff members.
- Collaborate with the medical director to ensure adherence to credentialing and privileging requirements.
- Develop a thorough understanding of Medicaid regulations and billing practices.
- Stay informed about the latest editions of the DSM for accurate clinical application.
- Provide regular clinical supervision to team members, reviewing patient assessments and signing necessary documentation.
- Conduct monthly team meetings to discuss challenging cases and staffing issues.
- Identify training needs for staff to maintain high program standards.
- Manage the administrative and clinical responsibilities of a multidisciplinary team.
- Ensure compliance with quality assurance and documentation standards among practitioners.
- Guide and develop staff through performance management and goal setting.
- Ability to remain seated for extended periods.
- Frequent use of computer and office technology.
- Occasional walking and standing throughout the workday.
- A master's degree in human services, psychology, mental health counseling, or a related field from an accredited institution.
- A valid license as a Certified Supervised Counselor (CSC-AD) or Certified Associate Counselor (CAC-AD) is required.
- Must maintain approved Supervisor status under the relevant professional board.
- A minimum of five years of management or supervisory experience in a healthcare setting, with a proven track record of effective leadership.
- At least five years of clinical experience in mental health or substance use treatment is preferred.
- Strong understanding of Intensive Outpatient Programs and related services.
- Proficient in operational budgeting and financial management.
- Exceptional relationship-building and marketing skills.
- Thorough knowledge of EMR systems and clinical compliance standards.
- Ability to prioritize tasks and manage multiple responsibilities effectively.
- Strong interpersonal skills, including the ability to work with diverse populations.
- Proven ability to produce clear and concise reports.
- Engage in quality assurance initiatives and performance improvement activities to enhance service delivery.
- Adhere to all regulatory requirements and company policies related to service delivery and documentation.
