We are currently seeking a skilled Office Administrator/Bookkeeper to join our dynamic commercial property management team. This role is essential in ensuring the smooth operation of our property management services.
Working Hours
Monday to Friday, 8 AM to 5 PM.
Compensation
Salary range is $50,000 to $60,000, commensurate with experience. Benefits include 10 days of paid time off after six months of employment, with all national holidays off and compensated.
Candidate Profile
We are looking for an individual with strong interpersonal skills, excellent communication abilities, a knack for numbers, and exceptional organizational skills. Experience in property management is highly desirable, particularly familiarity with Appfolio software.
Key Responsibilities
- Oversee vendor agreements, invoices, and scheduling.
- Respond promptly and courteously to tenant inquiries.
- Facilitate rent collection and deposits.
- Organize tenant welcome packages and move-in processes.
- Prepare notices for late rent and manage eviction processes when necessary.
- Handle work orders through Appfolio or email communications.
- Negotiate vendor contracts and manage invoices.
- Provide 24-hour emergency coverage via work phone.
- Conduct routine property inspections to ensure compliance with maintenance standards and lease agreements.
- Maintain all relevant contracts, insurance documents, and records.
- Ensure accurate tenant correspondence and filing.
- Develop proficiency in Appfolio and other relevant software.
- Prepare financial reports for accounting purposes.
- Ensure professional service execution as per lease agreements.
- Identify opportunities for cost reduction.
- Maintain accurate bookkeeping for properties and company expenses.
- Regularly provide occupancy, rent roll, and budget reports to property owners.
- Manage projects related to property upgrades.
- Facilitate access for tenants and vendors through security software.
- Review and draft lease agreements and renewals.
- Assist with inventory management as needed.
