POSITION SUMMARY
The primary role of this position is to proficiently manage the intake of patients across various services within the healthcare facility. This includes overseeing front desk operations, handling switchboard communications, and executing patient registration with a focus on professionalism and courtesy. The representative will also provide essential patient education on topics such as Free Care, Advanced Directives, Patient Consent, Patient Rights, Notice of Privacy Practices, and the Advanced Beneficiary Notice.
KEY RESPONSIBILITIES
- Oversee all functions related to switchboard operations.
- Efficiently manage inquiries and requests at the front desk and switchboard, including answering incoming calls and directing them to the correct departments.
- Maintain up-to-date knowledge of staff changes.
- Document the arrival and registration times for all patients seeking services.
- Manage visitor sign-in for obstetrical patients.
- Sort and deliver incoming patient mail to the appropriate nursing stations, and handle outgoing mail for discharged patients.
- Unlock and secure various offices and file cabinets as needed.
- Handle all aspects of patient registration for both outpatient and inpatient services.
- Complete all necessary data entry on registration profiles and verify information for each service date.
- Assess patients' insurance coverage and eligibility.
- Stay informed about outpatient coverage issues and evaluate medical necessity when required.
- Comply with all policies related to inpatient and outpatient registrations.
- Prepare and clarify Advanced Beneficiary Notices when necessary.
- Complete Medicare Secondary Payer Questionnaires for all Medicare patients.
- Assist physician office staff in understanding national coverage policies.
- Provide Notice of Privacy Practices and secure patient signatures on consent forms for each service date, including identifying a responsible party when the patient is unable to sign.
- Verify outpatient orders and ensure all required information is present.
- Establish the existence of any Advanced Directives.
- Prepare all necessary preoperative and surgical paperwork for scheduled patients.
- Identify patients who may qualify for Free Care and offer assistance with applications.
- Maintain adequate supplies to perform job functions effectively.
- Adhere to the departmental dress code.
- Proactively seek information by engaging in meetings, reviewing memos, policies, newsletters, and other relevant communications.
- Demonstrate reliable attendance and punctuality, including adhering to scheduled breaks and extending shifts when necessary to meet patient needs.
- Perform all duties in a safe manner, following established safety policies and procedures.
- Comply with the Code of Conduct and all relevant policies and procedures.
- Undertake additional duties as assigned that align with the position and department.
QUALIFICATIONS
- High School Diploma or GED with on-the-job training.
- Experience with various computer systems and proficient typing skills.
- Familiarity with medical terminology.
- Understanding of various health insurance plans.
- Knowledge of business office operations and general office equipment.
- Ability to work both independently and collaboratively in a team environment, managing pressure and interruptions effectively.
- Strong communication and organizational skills.
WORK ENVIRONMENT
This position is primarily sedentary, with occasional lifting of up to 10 pounds. The role involves sitting for extended periods, with brief periods of standing or walking.
EXPOSURE RISK
Category III: Employees in this role are not expected to be at risk for exposure to bloodborne pathogens.
QUALITY IMPROVEMENT
- Maintain current knowledge of the hospital-wide Quality Improvement Program.
- Collaborate with management to enhance departmental effectiveness through Quality Improvement initiatives.
- Participate in departmental and hospital-wide Quality Improvement activities as directed.
COMPLIANCE
- Adhere to all applicable federal, state, and local regulations.
- Follow the Compliance Program policies and procedures of Down East Community.
- Comply with all Privacy and Security policies and procedures.
- Report any compliance concerns to the department manager or Compliance Officer.
- Address any confidentiality concerns with the Privacy Officer.
