POSITION SUMMARY
The Medical Receptionist serves as the initial point of contact for patients at Charles Drew Health Center, embodying the role of the Director of First Impressions, both via phone and in-person interactions. The primary focus is to deliver exceptional customer service consistently. This role entails providing a high level of reception services to patients and staff in a supportive and positive environment.

- Utilize NextGen software to schedule patient appointments efficiently.
- Adhere to health center standards and guidelines when scheduling appointments.
- Manage patient expectations by providing clear service and center-specific instructions.
- Maintain an average scheduling time and be prepared to handle calls as per the schedule.
- Possess a thorough understanding of healthcare services to address inquiries and direct calls appropriately.
- Greet and assist patients and visitors courteously and promptly.
- Collect and accurately document co-payments from patients, ensuring daily reconciliations.
- Monitor patient no-shows and cancellations.
- Achieve performance goals related to appointment creation and rescheduling.
- Uphold confidentiality and approach sensitive issues with a nonjudgmental attitude.
- Educate clients regarding services and associated fees.
- Conduct fee assessments to determine eligibility for various insurance programs.
- Inform patients about their financial responsibilities and necessary documentation.
- Master various information technology systems to support client appointment processing.
- Ensure patients are aware of follow-up needs as indicated in NextGen and EMR.
- Refer patients to internal providers for additional services as needed.
- Comply with all relevant policies and guidelines, including Joint Commission, OSHA, and HIPAA standards.
- Participate in routine health center meetings and training sessions.
Qualifications
Education: High School Diploma required.
Experience: A minimum of three years in customer service, preferably in a call center environment within primary healthcare.
Skills: Strong communication and organizational skills, familiarity with NextGen, and the ability to manage multiple tasks independently. Knowledge of medical terminology is advantageous.
Language: Proficiency in English; knowledge of Karen and Burmese is preferred.
Work Hours: Full-time position with a 40-hour work week, Monday through Friday, with varying hours.
Physical Requirements: Reasonable accommodations may be made for individuals with special challenges to perform essential functions.
