Position Summary- The role entails delivering essential administrative assistance to residents, visitors, and both internal and external personnel.
Key Responsibilities
- Manage the telephone switchboard to receive, filter, and redirect calls, offer information, and address inquiries; take messages as necessary.
- Review and manage all voicemails, including those received via email.
- Welcome all residents and guests in a polite and professional manner; guide or accompany individuals to their designated locations.
- Conduct daily check-in/check-out for residents; ensure proper documentation in the front desk log.
- Record daily safety and incident reports; document weather-related conditions when relevant.
- Monitor the Nurse Call system and respond appropriately.
- Input transportation and maintenance requests into the system as required.
- Sort and distribute all mail, internal communications, and packages to residents and staff members.
- Reserve the private dining area for residents and their guests.
- Familiarize oneself with emergency communication systems and procedures (fire, medical, and police).
- Keep the immediate supervisor informed of any significant situations or unusual occurrences for timely action.
- Direct all potential residents and their families to the leasing team.
- Provide applications to prospective employees.
- Perform additional tasks and special projects as assigned.
- High School diploma; or three to five years of relevant experience and/or training, or an equivalent combination of education and experience.
- A minimum of three years of office experience.
- Experience with elderly populations is advantageous.
- Intermediate proficiency in computer skills, particularly with Microsoft Office Suite.
- Exceptional customer service abilities; patience and empathy are essential.
- Ability to respond to emergencies in a composed manner.
- Standard working hours: Monday to Friday, 8:30 AM to 4:30 PM.
- Competitive hourly wage: $14.00 to $16.00; includes comprehensive health insurance and benefits.
