Key Responsibilities:

  • Shipments Management: Manage shipments from booking to delivery, ensuring timely and accurate processing.
  • Communication: Communicate with carriers, customers, and internal teams to ensure seamless operations.
  • Document Processing: Receive and process various documents for accuracy, requiring operational knowledge of customers, carriers, and procedures.
  • Data Entry: Enter operational/customer data in software systems, identifying missing or potential operational or service concerns.
  • Customer Service: Address internal and external customer questions and concerns regarding shipments, billing, status, services, carriers, and other needs.
  • Order Tracking: Track orders and shipments, assisting with tracing as needed.
  • Reporting: Assist with running and summarizing operational reports and details, presenting information to co-workers or supervisors as needed.
  • Carrier Interface: Interface with airlines, ocean shipping, truck, and related carriers to understand requirements.
  • Quote Preparation: Assist with preparing information required for quotes or addressing potential services, providing standard to complex quotes.
  • Account Management: Develop working relationships with internal and external customers, assisting with account management such as maintaining customer profiles, details, and service needs.
  • Invoice Processing: Create and process invoices, reviewing for operational accuracy, and working with customers on questions and payment.

Requirements:

  • Experience: Minimum 3-5 years of experience in import operations or a related field.
  • Communication Skills: Excellent communication skills in English, both verbal and written.
  • Technical Skills: Basic Microsoft products, Excel, Word, Outlook.
  • Customer Service Skills: Strong customer service skills with the ability to interact professionally with clients, management, and co-workers.
  • Team Player: Team player with a positive attitude and strong work ethic.
  • IES Software: IES software experience a plus.
