ROLE SUMMARY:

Under the guidance of the Nurse Manager, the Medical Office Assistant (MOA) is responsible for a variety of administrative tasks including patient registration, appointment management, insurance verification, and collection of necessary co-pays and deductibles. This role is crucial in ensuring the accurate and timely gathering of essential patient information and serves as a key resource for patients visiting the facility. The MOA will also assist in the collection of COVID-19 testing samples, demonstrating exceptional customer service and relationship-building skills while managing multiple priorities with precision.

KEY RESPONSIBILITIES:

  • Register new and returning patients across various specialties using the electronic health record system, ensuring all necessary forms are completed and data is accurately entered.
  • Verify insurance eligibility and income, recording details accurately and attaching insurance documentation in the electronic system.
  • Facilitate the registration and processing of COVID-19 tests and specimens as required.
  • Connect uninsured or underinsured patients with enrollment specialists for assistance with insurance applications.
  • Uphold patient confidentiality and ethical standards in accordance with organizational policies.
  • Work within assigned regions, which may involve operating at multiple health centers as needed.
  • Engage in daily team meetings to discuss operations and patient care.
  • Respond positively to customer inquiries, applying the AIDET model to exceed expectations and deliver high-quality service.
  • Handle incoming calls professionally, directing inquiries appropriately and documenting communications in the electronic system.
  • Manage appointment scheduling, cancellations, and rescheduling for patients.
  • Oversee the collection and distribution of internal and external correspondence.
  • Conduct daily reminder calls and follow up on no-show appointments as assigned.
  • Complete administrative tasks and patient cases in the electronic system by the end of each business day.
  • Guide patients through the check-out process, including payment collection and scheduling follow-up appointments as directed by clinical staff.
  • Ensure compliance with medical record requests within established timelines.
  • Perform daily cash reconciliation and batch closing processes accurately at the end of each day.
  • Complete all required training for the position.
  • Carry out additional duties as assigned.

QUALIFICATIONS:

To succeed in this role, candidates must demonstrate the ability to perform essential duties effectively. The following qualifications are preferred:

EDUCATION AND EXPERIENCE:

A high school diploma or GED is required, along with at least one year of customer service experience. Previous experience as a Medical Office Assistant is highly desirable.

ADDITIONAL QUALIFICATIONS:

Reliable transportation is necessary.

Bilingual skills (English/Spanish) are advantageous.

Availability to work evenings, weekends, and holidays as scheduled.
