Supervisor: Customer Service & Operations Supervisor
Pay Range: $21.00-$24.00 per hour
- Provide outstanding customer service consistently.
- Answer incoming calls, accurately gather information, and direct calls as necessary.
- Welcome visitors warmly and ensure their comfort.
- Conduct initial client health assessments.
- Coordinate with staff regarding client arrivals.
- Manage scheduling for meetings and conference rooms as needed.
- Respond effectively to the diverse cultural needs of our service population.
- Assess client needs during initial contact and provide appropriate referrals.
- Maintain up-to-date knowledge of HOPICS programs and eligibility criteria.
- Post and distribute notifications regarding office closures.
- Assist clients at the front desk and provide necessary information.
- Support the Supervisor of First Impressions with clerical tasks.
- Respond to voice messages within a 24-hour timeframe.
- Communicate urgent client needs to the Supervisor.
- Facilitate communication between clients and direct service staff.
- Manage multiple tasks with precision and efficiency.
- Ensure the breakroom and supply areas are adequately stocked.
- Represent the organization at community events and meetings.
- Maintain confidentiality of all sensitive information.
- Perform data entry and document scanning as required.
- Assist with mail sorting and delivery to appropriate departments.
- Carry out other duties as assigned.
- Maintain compliance with HIPAA and other regulatory requirements.
- Complete required documentation in a timely manner.
- Participate in mandatory meetings and training sessions.
- Ability to perform effectively under pressure and in emergency situations.
- Strong oral and written communication skills.
- Friendly demeanor and clear communication.
- Proficient in clerical tasks with attention to detail.
- High School Diploma or equivalent required.
- Experience working with diverse populations.
- Verification of employment eligibility and background clearance.
- Current TB test required.
- CPR and First Aid certification must be obtained within 30 days of employment.
This position is based in an office setting, where the receptionist may encounter challenging client interactions. The role requires collaboration with various staff members and external agencies.
Physical and Mental RequirementsThe role demands good physical and mental health, including the ability to lift and carry items weighing up to 100 pounds, and to manage interruptions and changes in priorities effectively.
