POSITION SUMMARY

This unit is dedicated to the upkeep of all academic records and the issuance of transcripts, managing student registration, classifying students for tuition purposes, assessing student eligibility for graduation, and supporting commencement activities. The office also evaluates transfer credits, oversees class scheduling, handles withdrawals, and manages student enrollment/VA/NCAA certification and verification. The data generated from maintained records is analyzed for internal decision-making processes.

The Office of the Registrar is primarily focused on serving all students, including those on-campus, off-campus, during summer sessions, and online, alongside faculty, staff, and administration.


KEY RESPONSIBILITIES

This role is responsible for auditing academic records to ensure accuracy and completeness, providing guidance to students and their academic advisors regarding their academic status and progress towards graduation, and serving as a liaison between students and faculty to address course deficiencies.

Additionally, this position aids in coordinating all activities related to commencement events, representing the Office of the Registrar on the Commencement Committee, and overseeing the day-to-day logistics of ceremony planning.

Essential duties include:

  • Developing expertise in the degree evaluation system and communicating program requirements to students, faculty advisors, and university staff.
  • Investigating and informing students of any graduation requirement deficiencies during the graduation application process.
  • Monitoring the completion of graduation requirements and making informed decisions regarding complex course adjustments.
  • Addressing daily operational inquiries related to graduation.
  • Interpreting and applying university policies and regulations.
  • Collaborating with office management to fulfill daily responsibilities associated with undergraduate commencement ceremonies.
  • Participating in undergraduate commencement ceremonies.
  • Working with colleagues to create reports, correspondence, and forms.
  • Maintaining administrative records systems and reference lists related to graduation.
  • Delivering training sessions on Degree Works to faculty, staff, and students.
  • Continuously seeking to enhance process automation and explore technological applications related to degree planning and conferral.
  • Performing other assigned duties as necessary.

MINIMUM QUALIFICATIONS
Education:
Bachelor's Degree in Communications, Business, or a closely related field. Relevant work experience may substitute for educational requirements.

Experience:

1-2 years of office experience, including data entry, process analysis, and proficiency in computer skills within a similar environment. Experience in providing administrative support across various departments is essential, along with public speaking and effective information delivery skills. Candidates must demonstrate discretion regarding student-related information and have experience with database and administrative systems.
