POSITION SUMMARY:
Under the direct supervision of the Nurse Manager, the Medical Office Assistant (MOA) is responsible for performing essential registration tasks, including scheduling appointments, verifying insurance, collecting applicable co-pays and deductibles, and managing the accurate collection of vital patient information. This role also serves as a resource for patients entering the facility and assists with the collection of COVID-19 testing specimens. The MOA is expected to demonstrate exceptional relationship-building and customer service skills while effectively managing multiple priorities in a fast-paced environment.
KEY RESPONSIBILITIES:
- Register new and returning patients across various specialties using the electronic health record system, ensuring completion of all necessary forms and accurate data entry.
- Verify insurance eligibility and income, accurately recording and attaching insurance documentation in the electronic system.
- Manage COVID-19 registration and specimen collection using the electronic record system.
- Facilitate connections to enrollment specialists for uninsured or underinsured patients seeking assistance with insurance applications.
- Uphold patient confidentiality and ethical standards at all times, adhering to established policies and procedures.
- Work within an assigned region, which may involve multiple health centers on different days or within a single day if coverage is required.
- Participate actively in daily team meetings.
- Respond positively to internal and external customer inquiries, utilizing the AIDET model to exceed expectations and deliver high-quality service.
- Handle designated phone calls courteously, routing communications appropriately and documenting inquiries in the electronic record system.
- Schedule, cancel, and reschedule patient appointments as needed.
- Manage the collection and distribution of internal and external mail.
- Conduct daily reminder and no-show calls as per established procedures.
- Complete all assigned administrative tasks, patient cases, and eligibility issues within the electronic record system by the end of the business day.
- Process patients through the check-out procedure, including collecting payments and co-pays, providing receipts, and scheduling follow-up appointments as directed by clinical staff.
- Comply with all medical record requests within the designated timeframe and protocols.
- Perform daily cash reconciliation and batch closing processes accurately at the end of each business day.
- Complete all required training for this position.
- Carry out additional duties as assigned.
QUALIFICATIONS:
To be successful in this role, candidates must demonstrate the ability to perform each essential duty satisfactorily. The following qualifications are required:
EDUCATION and EXPERIENCE:
A high school diploma or GED is required, along with at least one year of customer service experience. Previous experience as a Medical Office Assistant is strongly preferred.
OTHER QUALIFICATIONS:
Reliable transportation is necessary.
Bilingual skills (English/Spanish) are a plus.
Availability to work late evenings, weekends, and scheduled holidays is required.
