Job Title: Patient Access Representative

At Tennessee Orthopaedic Alliance, we are seeking a highly skilled Patient Access Representative to join our team. As a Patient Access Representative, you will play a critical role in ensuring our patients receive top-notch customer service and have access to the best care possible.

Key Responsibilities:
  • Answer inbound calls from new and existing patients, providing exceptional customer service and ensuring their needs are met.
  • Obtain patient demographics and insurance information, utilizing critical thinking to arrive at solutions for patients.
  • Listen actively to patient medical history, including surgical history, previous or current injuries, and recent imaging history.
  • Dissect pertinent details, such as patient address, availability, and specialty required, to find the most convenient and effective appointment for the patient.
  • Schedule patient appointments through NextGen, utilizing multiple screens and systems to document information and search for physician availability.
  • Review online appointment requests and schedule those appointments, ensuring timely and efficient service.
  • Handle inbound referrals for designated physicians, reschedule cancellations, and respond effectively to time-sensitive email communication.
  • Deescalate conflict independently with disgruntled patients, maintaining a professional and empathetic tone.
Requirements:
  • Provide excellent customer service, executing it on a daily basis.
  • Maintain a professional and empathetic tone while conducting phone calls, even in high-volume situations.
  • Enjoy corresponding over the phone and working with computers, with a strong understanding of Microsoft programs such as Excel, Word, and Office.
  • Be highly organized, paying close attention to detail, and successfully work across boundaries, including other TOA roles and clinics.
  • Prior experience working with an EMR, such as NextGen, is preferred, as is a high school degree, with a college degree preferred.
