SUMMARY

The Healthcare Support Specialist plays a crucial role in the daily operations of patient care management. This position requires a collaborative team player who fosters positive relationships with healthcare providers and colleagues, while prioritizing patient-centered care and ensuring a satisfactory patient experience. The specialist will work closely with medical professionals and fellow assistants, handling both administrative and clinical responsibilities within a dermatology practice.

KEY RESPONSIBILITIES

Clinical Duties

  • Document and update patient medical histories in electronic health record systems.
  • Prepare patients for examinations and assist physicians during procedures.
  • Transcribe medical documentation using electronic health record software.
  • Communicate treatment plans and procedures to patients.
  • Collect and process laboratory specimens.
  • Manage the disposal of contaminated materials and sterilization of medical instruments.
  • Organize examination room equipment and instruments.
  • Maintain inventory levels by placing orders and verifying deliveries.
  • Ensure proper sterilization of surgical tools using autoclave methods.
  • Keep waiting and examination areas tidy and organized.
  • Ensure compliance with medical record documentation standards.
  • Perform additional clerical tasks to enhance provider efficiency and clinic workflow as assigned.

Administrative Duties

  • Handle incoming calls and respond to messages.
  • Schedule and confirm patient appointments.
  • Welcome and check in patients, verifying insurance information and appointment details.
  • Update and maintain patient medical records as necessary.
  • Manage correspondence and respond to inquiries via email and patient portals.
  • Document billing information for services rendered, complete insurance forms, and address inquiries from insurance providers.
  • Collect payments from patients.

MINIMUM QUALIFICATIONS

  • High School diploma or equivalent.
  • Certified Medical Assistant (CMA) from an accredited institution.
  • At least one year of experience in a medical setting as a Medical Assistant.
  • Demonstrated proficiency in managing clinic patients effectively.
  • Strong verbal and written communication skills.
  • Excellent organizational, interpersonal, and customer service abilities. Proficient in Microsoft Office Suite.
  • Ability to perform well in high-pressure situations involving confidential matters.
  • Meticulous attention to detail.
  • Experience in a dermatology environment is preferred.

WORKING ENVIRONMENT

Proficiency in using computers, tablets, printers, and office telephones is required. Candidates must be able to read, write, and communicate effectively in both oral and written forms. Basic arithmetic skills and familiarity with medical terminology are essential.
