Job Summary

The Senior Receptionist will play a key role in ensuring the smooth operation of the reception area, providing exceptional customer service, and supporting the overall administrative functions of the company.

Key Responsibilities
  • Answer and direct phone calls in a professional and courteous manner
  • Welcome visitors and ensure they are properly logged into the Visitor Management System
  • Process incoming shipments and notify staff members of deliveries
  • Coordinate new employee badge access and maintain employee loaner badge program
  • Prepare and disseminate the monthly lunch coverage schedule and coordinate out-of-office coverage
  • Send company notifications and assist with the Electric Vehicle Charging program
  • Ensure the efficient processing of incoming and outgoing mail and coordinate postage meter activities
  • Coordinate flower delivery or fruit basket orders for employees on leave
  • Responsible for FedEx Company Administrator activities and ordering shipping supplies
  • Assist with tracking office supply costs, recycling, and utility costs
  • Responsible for the Facilities Service Agreement Program and backup coverage for various departments
  • Provide administrative support to staff and management as needed
Requirements
  • High school diploma or equivalent
  • Minimum 7 years of experience in a receptionist or administrative role
  • Proficient computer skills in Microsoft Word, Excel, and PowerPoint
  • Strong organizational and communication skills
  • Ability to logically organize and manage working computer files
  • Professional and courteous demeanor
  • Customer service orientation
