We are seeking a highly organized and detail-oriented Intake Coordinator to join our team at Whole Child Therapy, Inc. As the first point of contact for new families, you will play a critical role in guiding them through the intake process with professionalism and empathy.
Key Responsibilities- Manage the waitlist, prioritizing patients based on urgency, condition severity, referral order, and clinic slots.
- Schedule appointments for waitlisted or referred patients, ensuring all documentation is complete.
- Coordinate with therapists to match patients with appropriate specialties and availability.
- Provide clear explanations of the intake process and essential information to families.
- Collect co-pays and payments at check-in, and address and escalate patient concerns as needed.
- Maintain accurate records, including contact details and referral sources.
- Ensure patient information security and compliance with confidentiality regulations.
- High school diploma or equivalent.
- At least 1-2 years of experience as a receptionist or in a customer service role, preferably in a healthcare setting.
- Proficiency in using computer systems and software applications, including electronic medical records (EMR) systems and Microsoft Office.
