Position Summary:
Ecology Auto Parts, Inc. is seeking a dedicated Customer Service Representative (CSR) to enhance our Port Division. The CSR serves as the primary contact for our clients, playing a crucial role in managing transportation orders and billing for designated accounts through our Transportation Management Software (TMS). This role is integral to our drayage department, collaborating closely with the Port Operations Supervisor.
Key Responsibilities:
Customer Service:
- Manage, process, and communicate with assigned clients to coordinate drayage orders.
- Collaborate with the Dispatch Operations team to ensure accurate entry and processing of customer orders into TMS.
- Verify order information against client documents, port terminal schedules, and shipping requirements.
- Address customer inquiries regarding scheduling issues, arrival times, and additional fees, including:
- Reviewing terminal and shipping line portals
- Responding to customer requests for information and providing necessary documentation
- Monitor import and export booking details while managing customer orders.
- Notify management of service discrepancies and proactively communicate any issues to clients and Dispatch Operations.
- Ensure timely email responses, aiming to reply within one hour of receipt.
Billing:
- Review and verify completed orders daily to ensure billing accuracy in accordance with customer agreements and additional charges.
- Invoice clients based on established guidelines within a specified timeframe after container ingates.
- Assist the Accounts Receivables department in resolving customer disputes related to invoices and provide necessary documentation.
Qualifications/Skills:
- High School diploma or GED required
- Associate's degree preferred
- 1-2 years of customer service experience in the trucking industry preferred
- 1 year of experience with TMS or Profit Tools highly preferred
- Proficient in Microsoft Office Suite, especially Excel and Word
- Strong organizational, scheduling, and communication skills
- Effective verbal and written communication abilities
- Proactive, flexible, and focused on process improvements
Physical Requirements:
- Regularly required to sit, use hands, reach, and communicate.
- Occasionally required to stand and walk.
- Must frequently lift and/or move up to 25 pounds.
- Specific vision abilities required include close vision and depth perception.
- Some travel may be necessary.
Compensation:
The Customer Service Representative position offers a competitive hourly wage ranging from $18 to $22, with the final rate determined by the candidate's experience and qualifications. In addition to competitive pay, we provide comprehensive benefits, including medical, dental, and vision insurance, a 401k plan with employer matching, generous paid time off, and life insurance coverage.
