Job Description:
This role will provide administrative support to our Chief Administrative Officer (CAO) in managing Board of Director communication, scheduling meetings, inviting and coordinating Special Olympics events, and providing support to key executives. The ideal candidate will have a proven track record of supporting multiple administrative functions, possess strong organizational skills, and maintain confidentiality at the highest level.

Responsibilities:
  • Schedule meetings for the Senior Leadership Team, Board of Directors, and other stakeholders.
  • Coordinate all aspects of in-person and remote meetings, including annual retreats.
  • Prepare agendas, meeting minutes, and documents using our governance software.
  • Provide on-site support at quarterly Board and Executive Committee meetings.
  • Assist with new member onboarding and orientation.
  • Schedule individual meetings between board members and SONC leadership team.
  • Track and report on annual Board commitments.
PRESIDENT & CEO:
  • Support the President & CEO in maintaining their calendar and schedule.
  • Perform additional administrative support duties, such as preparing correspondence and processing expense reports.
  • Help prepare meetings, including research and creating presentations.
  • Keep Salesforce updated with opportunities and meeting notes.
Requirements and Qualifications:
  • Minimum two years of successful office experience, with a proven track record of supporting multiple administrative functions.
  • Excellent time management, multitasking, and prioritization skills; able to work independently and collaboratively with a team.
  • Possess intermediate to advanced knowledge of G-Suite and Microsoft Office Suite (Excel, Word, Outlook & PowerPoint).
  • Familiarity with non-profit organizational structure highly preferred, along with experience using Salesforce, Box, or Dropbox.
