Job Overview

The Receivables Management Specialist will oversee and maintain the accounts receivable records, ensuring precise and timely invoicing while addressing phone inquiries and performing clerical duties. This position is part-time, operating Monday through Friday from 9:00 AM to 2:00 PM.

Primary Responsibilities:

  • Accounts Receivable Oversight:
    • Process and record incoming payments, including checks, electronic transfers, and credit card transactions.
    • Prepare and dispatch invoices to clients, following up on outstanding accounts.
    • Reconcile accounts receivable ledgers to ensure accurate payment records.
    • Generate and review aging reports, assisting in the resolution of discrepancies.
  • Customer Service and Communication:
    • Handle incoming phone calls with professionalism, providing accurate information regarding billing and account inquiries.
    • Assist clients with account-related questions and issues, including resolving billing discrepancies and providing account statements.
    • Direct calls to the appropriate departments or personnel as necessary.
  • Administrative Duties:
    • Perform general office tasks such as filing, data entry, and maintaining accurate records.
    • Prepare and distribute routine correspondence, memos, and reports.
    • Assist with administrative responsibilities, including scheduling appointments and managing office supplies.
  • Collaboration and Coordination:
    • Work closely with other departments to address and resolve billing and account issues.
    • Support audit processes by preparing necessary documentation and reports.

Qualifications:

  • Education: High school diploma or equivalent required; an Associate's degree in Accounting, Finance, or a related field is preferred.
  • Experience: At least 1 year of experience in accounts receivable or a similar accounting role. Experience in customer service and clerical tasks is advantageous.
  • Skills:
    • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
    • Familiarity with accounting software (e.g., QuickBooks, Sage) is beneficial.
    • Strong numerical and analytical skills with a keen eye for detail.
    • Excellent communication and interpersonal skills.
    • Ability to multitask and manage time effectively.
